Job Overview: The EU Finance and Reporting Associate will play a crucial role in supporting IOM's financial management of EU funded projects. This position involves providing technical assistance to IOM Regional and Country Offices globally, ensuring compliance with donor requirements, and facilitating effective financial reporting and budget management. The incumbent will be responsible for reviewing financial reports, monitoring budget consumption, and maintaining databases related to EU funding. Additionally, the role includes contributing to training activities and knowledge management within the organization, thereby enhancing the overall capacity of IOM staff in managing EU funds effectively.
Duties and Responsibilities:
Provide technical assistance to IOM Country Offices and Regional Offices on financial and administrative matters related to EU funding.
Review and ensure compliance of budget and financial reports for EU projects with donor requirements.
Monitor budget consumption of EU funded projects and alert supervisors on unusual trends.
Maintain and update the EU funded project database with financial and contractual data.
Assist in external verification and audit exercises by providing necessary documentation and drafting responses.
Prepare requests for payment for EU projects and follow up on fund collection or returns.
Organize and deliver training on EU regulations and financial management for IOM staff.
Contribute to knowledge management by collecting and analyzing information and sharing best practices.
Participate in internal and external meetings and undertake travel for monitoring and capacity building missions. 1
Perform other duties as assigned by supervisors.
Required Qualifications:
Bachelor’s degree in Business Administration, Finance, Commerce, or a related field from an accredited institution, or a completed High School degree with at least five years of relevant professional experience.
Minimum one year of experience with EU funding instruments and financial management of EU funded projects.
Knowledge of EU funding mechanisms and experience in field audit activities are advantageous.
Strong analytical skills to review data and identify discrepancies.
Excellent written and oral communication skills in English, with the ability to convey complex information clearly.
High level of proficiency in computer applications, particularly Excel and accounting systems.
Educational Background: Candidates must possess a Bachelor’s degree in a relevant field such as Business Administration, Finance, or Commerce from an accredited academic institution. Alternatively, a completed High School degree accompanied by at least five years of relevant professional experience is acceptable. Accredited institutions are those recognized in the UNESCO World Higher Education Database.
Experience: The position requires a minimum of one year of experience in financial management and reporting of EU funded projects, as well as familiarity with EU funding instruments. Experience in field audit activities is considered an advantage, indicating a need for practical knowledge in compliance and financial oversight.
Languages: Fluency in English is mandatory for this position. Proficiency in additional languages may be beneficial but is not specified as a requirement.
