Job Overview:
The Admin and Finance Assistant will play a crucial role in supporting the Representative Office in Cairo by managing various administrative and financial tasks. This position is essential for ensuring that the office runs smoothly and efficiently. The assistant will be responsible for handling day-to-day administrative functions, which include managing office supplies, maintaining records, and responding to inquiries from the public. Additionally, the role involves preparing the office's annual procurement plan and budget, processing procurement requests, and ensuring compliance with organizational policies. The assistant will also support the Finance Department in processing payments and preparing financial reports, as well as assisting in the organization of high-level visits and events. This position requires a proactive individual who can manage multiple tasks and work collaboratively with various departments.

Duties and Responsibilities:
The Admin and Finance Assistant will be responsible for a wide range of duties, including:
  • Managing daily administrative functions such as fleet management, office filing, and record-keeping.
  • Responding to public inquiries and managing correspondence through the office's general inbox.
  • Preparing the annual procurement plan and budget, and processing procurement requests through the SAP system.
  • Maintaining accurate inventory records and ensuring the proper functioning of office equipment.
  • Coordinating with the Finance Department to process payments to suppliers and prepare monthly financial reports.
  • Supporting the preparation of the annual budget and quarterly forecasts.
  • Organizing high-level visits to Egypt, including logistical arrangements and protocol matters.
  • Providing translation support for documents and correspondence between Arabic and English.
  • Performing other related duties as required by the Chief of the Representative Office.

Required Qualifications:
Candidates must possess a university degree in public or business administration, economics, or a related field. Additionally, applicants should have at least four years of professional experience in financial, administrative, or logistical functions within an international, governmental, or commercial organization. The role requires a strong understanding of administrative processes and financial management.

Educational Background:

Experience:

The position is expected to last for a duration of three months. The consultant will report directly to the Chief of the Representative Office in Cairo. The compensation for this role includes a basic salary ceiling of $1,340.20 per month.
