Job Overview: The UNEP FI Administrative Internship is designed to provide support to the UNEP FI Administration Team. The intern will assist in various administrative tasks that are essential for the smooth operation of the UNEP FI Secretariat. Duties and Responsibilities: The intern will have a diverse set of responsibilities, including but not limited to: 1) Assisting the UNEP FI HR focal point in reviewing Consultant and Intern Terms of Reference to ensure compliance with required standards. 2) Liaising with interns and consultants to facilitate the submission of necessary documentation for onboarding and enrollment processes. 3) Supporting HR focal points in the documentation process for contract approvals and maintaining HR files. 4) Coordinating with consultants and team leads to track monthly deliverables and activities. 5) Assisting in the invoicing process by tracking invoices and maintaining relevant documentation. 6) Organizing intern meetings and additional briefings as required. 7) Undertaking various administrative duties, including supporting travel requests and compiling travel-related documentation.
Required Qualifications: Candidates must be final year undergraduate or master’s degree students in Business Administration, Human Resources, or a related field, or have recently graduated (within one year of graduation). Applicants must provide proof of enrollment or graduation date. They should demonstrate good organizational and administrative skills, with a basic understanding of HR processes. Strong research, communication, and writing skills in English are essential, along with attention to detail and the ability to manage tasks independently. Previous exposure to HR or administrative processes is advantageous but not mandatory.
Educational Background: The educational requirements for this internship include being enrolled in a graduate program (second university degree or equivalent) or being in the final academic year of a first university degree program (minimum Bachelor's level). Alternatively, candidates who have graduated with a university degree within the last year are also eligible. Proof of enrollment or graduation is required at the time of application, and candidates must indicate which eligibility criteria they meet.
Experience: While professional work experience is not required for this internship, candidates should have a field of study closely related to the internship role.
