Job Overview:
The Senior Business Support Associate - Fleet Training position at WFP is crucial for the operational efficiency of the Kampala Fleet Hub and the Transport Training Centre (TTC). The role involves providing comprehensive operational, administrative, financial, and coordination support to ensure the effective delivery of fleet services and training activities across the East and Southern Africa region. The successful candidate will be responsible for coordinating the deployment of fleet assets, managing service requests, overseeing outsourced personnel management, and ensuring compliance with WFP financial procedures. This position also entails supporting the planning and implementation of training programs, maintaining effective relationships with stakeholders, and contributing to communication and visibility activities for the TTC. Duties and Responsibilities:
The duties and responsibilities of the Senior Business Support Associate include:
  • Coordinating the deployment of fleet assets and ensuring timely utilization of fleet trucks to meet operational requirements.
  • Managing light vehicle service and maintenance requests through the Fleet Booking Hub, ensuring timely processing and invoicing.
  • Overseeing outsourced fleet personnel management, including drivers and mechanics, and processing monthly service invoices.
  • Managing the Fleet Hub petty cash account, ensuring proper documentation and compliance with financial procedures.
  • Processing procurement and financial transactions, including Purchase Requisitions and Material Purchase Orders as requested.
  • Providing operational and administrative support to the Regional Fleet Manager to enhance fleet service delivery.
  • Acting as the focal point for TTC activities at the Kampala Fleet Hub, supporting training program planning and implementation.
  • Assisting in training needs assessments and ensuring timely delivery of training activities.
  • Organizing training events, workshops, and meetings, including administrative documentation and participant coordination. 1
  • Maintaining effective relationships with stakeholders to facilitate information sharing and service delivery. 1
  • Collecting and managing audio-visual content documenting TTC activities and fleet initiatives. 1
  • Contributing to communication and visibility activities for the TTC, ensuring alignment with project objectives. 1
  • Assisting in the development of communication products and outreach materials for internal and external audiences.

Required Qualifications:
The required qualifications for the Senior Business Support Associate position include:
  • Completion of secondary school education or a University degree (Diploma/Bachelor) in Supply Chain or a related field is highly preferred.
  • At least seven years of experience with a secondary school certificate or a minimum of three years of experience with a University degree in supply chain management, demonstrating proven capability in fleet management.
  • Prior experience with the UN system or an international NGO is desirable.
  • Proficiency in computer applications, particularly MS Office and internet usage.
  • Knowledge of fleet management and transport operations, as well as administrative and financial procedures, including procurement and invoice processing.
  • Strong organizational and coordination skills, with the ability to manage multiple activities simultaneously.
  • Excellent planning and follow-up skills are essential for success in this role.

Educational Background:
The educational background required for the Senior Business Support Associate position includes either a completion of secondary school education or a University degree (Diploma/Bachelor) in Supply Chain or a related field. A higher level of education is preferred as it provides a solid foundation for understanding the complexities of supply chain management and fleet operations, which are critical to the role.

Experience:
