Job Posting Organization:
The Division of Nuclear Fuel Cycle and Waste Technology (NEFW) is a part of the International Atomic Energy Agency (IAEA). The NEFW comprises several sections including the Nuclear Fuel Cycle and Materials Section, the Waste Technology Section, the Decommissioning & Environmental Remediation Section, and the Research Reactor Section. The mission of the NEFW is to support Member States in enhancing their capabilities to access technologies, share best practices, and develop safe and effective approaches in various areas such as research reactors, nuclear fuel cycles, decommissioning, radioactive waste management, and environmental remediation. The Waste Technology Section specifically focuses on assisting Member States in creating comprehensive radioactive waste management programs, including the management of disused sealed radioactive sources. The organization emphasizes the development and implementation of integrated radioactive waste management policies and strategies, the establishment of RWM infrastructure, and the promotion of sustainable and cost-effective practices in radioactive waste management. The NEFW collaborates closely with various units within the IAEA and other relevant international organizations to address the widespread challenges associated with radioactive waste management.

Job Overview:
The consultant will play a crucial role in providing technical expertise and input for the preparation, coordination, and execution of activities related to the International Conference on Advancement in Radioactive Waste Management: Innovation for a Sustainable Future (CN-357), which is scheduled to take place from October 11 to 15, 202
  • This position requires the consultant to develop and finalize a comprehensive conference program in collaboration with the Scientific Secretaries and the Conference Technical Committee. The consultant will ensure the effective integration and delivery of technical sessions, side events, exhibitions, and the Young Professionals Event. Additionally, the consultant will manage the registration process and the submission of abstracts and papers from both external and internal participants using the INDICO system. A critical aspect of this role involves reviewing submitted abstracts, assessing their scientific quality, relevance, and originality, and facilitating the selection process for oral or poster presentations. The consultant will also assist authors in formatting their papers and publishing them through the IAEA Conference App. During the conference, the consultant will provide technical input for developing conference outcomes, recommendations, and technical outputs, including formulating session summaries and main conclusions. After the conference, the consultant will be responsible for drafting the IAEA Conference Proceedings and providing statistical analysis for reporting purposes, along with high-level summaries and key highlights of the conference.

Duties and Responsibilities:
  • Develop and finalize the comprehensive conference programme in close coordination with the Scientific Secretaries and the Conference Technical Committee, ensuring effective integration and delivery of technical sessions, side events, exhibitions, and the Young Professionals Event.
  • Manage registration and submission of abstracts and papers from external and internal participants using the INDICO system.
  • Review submitted abstracts and assign them to appropriate tracks, assessing their scientific quality, relevance, and originality.
  • Facilitate the assessment and selection process for oral or poster presentations, including preparing analyses to inform decisions on acceptance.
  • Assist authors in formatting, editing, and publishing their papers through the IAEA Conference App.
  • Assist in the selection process of grant recipients.
  • Provide technical input to the development of conference outcomes, recommendations, and technical outputs, including formulating session summaries, introductory and closing statements, and main conclusions from session leaders and the Conference Chairperson.
  • Liaise with authors to keep updated on the reception of oral presentations and posters during the event for posting on the IAEA Conference App.
  • Prepare summaries and reports in a timely manner. 1
  • Develop the initial draft of the IAEA Conference Proceedings after the conference. 1
  • Provide statistical analysis for reporting purposes and prepare high-level summaries and key highlights of the conference.

Required Qualifications:
  • A university degree (bachelor) in engineering, natural or environmental sciences, information or data sciences, or another technical, scientific, analytical, or interdisciplinary field relevant to the assignment.
  • A minimum of two years of work experience in event management, conference planning, and preparation.
  • Excellent oral and written command of English.
  • Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian, and Spanish) is considered an asset.
  • Proficiency in IT is essential for this role.

Educational Background:
The position requires a university degree (bachelor) in a relevant field such as engineering, natural or environmental sciences, information or data sciences, or another technical, scientific, analytical, or interdisciplinary area that aligns with the responsibilities of the assignment.

Experience:
The consultant must have a minimum of two years of work experience in event management, conference planning, and preparation. This experience is crucial for effectively managing the various aspects of the conference and ensuring its success.

Languages:
The mandatory language for this position is English, with an excellent command required for both oral and written communication. Knowledge of additional official IAEA languages such as Arabic, Chinese, French, Russian, and Spanish is considered advantageous and may enhance the candidate's profile.

Additional Notes:
The consultancy offers a daily fee of up to a maximum of €150, which is determined based on the consultant's qualifications and experience. If duty travel is required as part of the assignment, a daily subsistence allowance (DSA) and travel costs will be provided. It is important to note that health coverage and pension fund responsibilities lie with the incumbent.
