Job Overview:
The coordinator" style="border-bottom: 1px dotted #007bff !important;">Grants Coordinator plays a crucial role in leveraging public and private funding opportunities through various activities such as prospecting, proposal and budget development, donor management, and sub-award management. This position operates under the supervision of the Grants Manager and is responsible for conducting a comprehensive range of pre- and post-award activities necessary for preparing and submitting institutional proposals to both public and private donors across the IRC in Northern California. The focus will be primarily on the programs in Sacramento and Turlock, with additional support provided to three other offices and Immigration programming. The Grants Coordinator will collaborate closely with IRC NorCal’s leadership, development, finance, and program staff, as well as with headquarters’ revenue, grants, and business development teams to ensure the successful acquisition and management of grants.

Required Qualifications:
Candidates must possess an undergraduate degree or certificate in non-profit management or a related field, or have comparable work experience. A minimum of three years of professional experience in proposal writing, log frame development, and budget management is preferred. Familiarity with refugee resettlement and immigration support services, including social work, mental and physical health, economic empowerment, and workforce development, is considered a plus. The ideal candidate should demonstrate the ability to work autonomously while also collaborating effectively with various teams to meet deadlines. Excellent writing, research, and organizational skills are essential, along with proficiency in Microsoft Office applications and cloud-based project management tools, with familiarity in Asana being advantageous. Candidates should also possess strong interpersonal skills and the ability to deliver high-quality products under tight schedules.
Educational Background:
The position requires an undergraduate degree or certificate in non-profit management or a related field. Comparable work experience may also be considered in lieu of formal education. Candidates should have a solid understanding of the non-profit sector, particularly in relation to grant writing and management.
Experience:
The Grants Coordinator should have at least three years of professional experience in relevant fields such as proposal writing, budget management, and grants administration. Experience in the non-profit sector, particularly in roles related to refugee resettlement and immigration support services, is highly desirable. The candidate should be adept at managing multiple projects simultaneously and meeting deadlines in a fast-paced environment.
Languages:
Excellence in written and spoken English is mandatory for this position. Proficiency in additional languages may be considered an asset, particularly languages relevant to the communities served by the IRC.
Additional Notes:
This position is not fully remote; it operates in a standard hybrid office environment with monthly travel required to other bioregional sites such as Sacramento and Turlock, and occasional travel to other regional sites like Oakland and San Jose. The role is a short-term position with an expected end date of December 31, 2026, and is not eligible for IRC's full benefits package. However, U.S.-based short-term employees will have access to a 403(b) retirement savings plan with employer matching, paid sick leave, and the Employee Assistance Program (EAP) for confidential counseling and mental health support.

The Grants Coordinator will be responsible for a variety of tasks including:
- Grants Management Prospecting: Support the identification of new funding opportunities and assist in the preparation of letters of inquiry, proposals, budgets, and reports to local foundations and potential private donors to solicit restricted private funds. This will be done in collaboration with the Grants Manager, director" style="border-bottom: 1px dotted #007bff !important;">Executive Director, and Development Director.
- Proposal Development (Pre-Award): Lead the development of concept notes, proposals, and budgets, ensuring that log frames, program designs, and narratives meet high-quality standards in coordination with Programs/Site directors and Finance Director. This includes writing key sections of proposals and editing contributions from team members.
- Grants Management (Post-Award): Oversee the negotiation and agreement stages with donors, ensuring that contract terms are communicated effectively with Finance and Programs through grant kick-off meetings. Coordinate grant opening and closing meetings for each grant in the portfolio, modify final budgets as requested, and ensure that incoming restricted funds are tracked appropriately.
- Secondary Duties: Collaborate with Finance, Site Directors, and program staff to prepare interim and final reports for grantors. Actively participate in initiatives aimed at building team engagement, inclusion, and cohesion within IRC NorCal. Foster an environment of ongoing learning, honest dialogue, and reflection to strengthen safeguarding and promote adherence to IRC values and policies.
