Job Overview:
The Assistant position at EBRD is designed to provide comprehensive administrative support to staff members, particularly in the Banking division. The role encompasses a variety of tasks aimed at facilitating smooth operations within the office. The Assistant will be responsible for managing travel arrangements, providing secretarial assistance during project preparations, and ensuring effective communication within the team and with external stakeholders. This position requires a proactive approach to problem-solving and the ability to handle multiple tasks efficiently. The Assistant will play a crucial role in maintaining the office's organizational structure, ensuring that all correspondence and documentation are managed effectively. Duties and Responsibilities:
The Assistant's duties include screening telephone calls and taking messages, providing a professional front-of-house service, and acting as a receptionist when necessary. The role involves distributing mail to ensure correspondence reaches the appropriate EBRD staff member. The Assistant will manage shared calendars, send out Teams invites, and organize conference calls and meetings. Additionally, the Assistant will assist in organizing workshops and seminars, prepare presentations, and format documents. Responsibilities also include proofreading and drafting routine business correspondence, arranging translations, and managing travel arrangements for staff, including visa processes and liaising with travel agents. The Assistant will maintain project databases, update filing systems, and support the Office Manager in running the office. Ad-hoc secretarial and administrative duties will also be required as needed.

Required Qualifications:
Candidates must possess higher education qualifications and demonstrate fluency in both English and Lithuanian, with excellent written and oral communication skills. Essential qualifications include prior secretarial and administrative experience, strong organizational skills, and a proactive and flexible work attitude. The ability to prioritize tasks, work independently, and maintain effective communication is crucial. Attention to detail, the ability to work under pressure, and the capacity to build effective relationships in a multicultural environment are also required.
