Job Overview:
The Finance and Logistics Coordinator will play a crucial role in providing integrated support across finance, procurement, logistics, and office operations to ensure effective project delivery. This position is essential for maintaining sound financial management, ensuring compliance with donor requirements, and facilitating efficient procurement processes. The coordinator will be responsible for accurate financial reporting and ensuring that day-to-day operations are well-coordinated in accordance with VSO policies and procedures. The role is designed to support the organization in achieving its goals while adhering to the highest standards of accountability and transparency. The ideal candidate will have a strong background in grant financial management and will be expected to demonstrate advanced proficiency in financial systems and analytical skills.

Duties and Responsibilities:
  • Provide integrated finance and logistics support to ensure effective project delivery.
  • Maintain sound financial management practices, ensuring compliance with donor requirements and VSO policies.
  • Oversee procurement processes, ensuring efficiency and adherence to guidelines.
  • Prepare and submit accurate financial reports in a timely manner.
  • Coordinate day-to-day office operations, ensuring smooth functioning of logistics and administrative tasks.
  • Manage medium-to-large restricted grants, including partner finances and audits.
  • Ensure financial controls are in place and adhered to, minimizing risks and ensuring accountability.
  • Collaborate with project teams to provide financial insights and support decision-making processes.
  • Facilitate training and capacity building for staff and partners on financial management and compliance. 1
  • Act as a liaison with donors and stakeholders regarding financial matters.

Required Qualifications:
  • Strong experience in grant financial management, budgeting, and donor compliance.
  • Proven track record managing medium-to-large restricted grants and partner finances.
  • Familiarity with EU donor requirements is preferred.
  • Advanced proficiency in Excel and accounting systems such as SUN/Q&A XL.
  • Strong analytical and reconciliation skills.
  • Excellent communication and interpersonal skills to facilitate collaboration and build relationships.

Educational Background:
A degree in finance, accounting, business administration, or a related field is required. Professional qualifications such as ACCA, CIMA, or equivalent are highly desirable. Candidates with relevant certifications in financial management or procurement will have an advantage.

Experience:
Candidates should have a minimum of 3-5 years of relevant experience in finance and logistics coordination, preferably within the non-profit or international development sector. Experience working with donor-funded projects and managing financial compliance is essential.

Languages:
Fluency in English is mandatory. Knowledge of Kinyarwanda or French is an advantage, as it may facilitate communication with local stakeholders and partners.
