Job Overview:
The Business Support Assistant (Supply Chain) position at WFP is designed to provide essential business and administrative support to logistics and supply chain operations, ensuring efficient service delivery. The incumbent will be responsible for various tasks including documentation management, data processing, reporting, commodity tracking, contract administration, and inventory record management. This role is crucial for maintaining compliance with WFP procedures and standards, and it plays a significant part in the overall logistics and operational support framework of the organization. The position requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders to facilitate smooth logistics operations.

Duties and Responsibilities:
The duties and responsibilities of the Business Support Assistant include but are not limited to:
  • Supporting the implementation of logistics and supply chain activities to ensure timely and efficient delivery of commodities and services, including commodity tracking and transport coordination.
  • Monitoring stock levels and commodity movements at various facilities, maintaining accurate logistics records, and preparing routine operational reports.
  • Providing administrative support to the Supply Chain Unit through data collection, document preparation, records management, and processing invoices.
  • Maintaining organized filing systems and responding to operational queries in a timely manner.
  • Updating and verifying supply chain information in WFP corporate systems, ensuring data accuracy and integrity.
  • Supporting warehouse and inventory management activities, including stock reconciliation and physical stock counts.
  • Assisting in vendor and partner management by maintaining records and liaising with transporters and other stakeholders.
  • Ensuring compliance with WFP policies and procedures, assisting with audits and compliance reviews, and identifying opportunities for process improvements.
  • Undertaking other related duties as assigned to support efficient supply chain operations.

Required Qualifications:
The position requires the following qualifications:
  • Completion of secondary school education is mandatory.
  • A post-secondary certificate in Logistics, Supply Chain Management, Business Administration, Procurement, Accounting, or a related field is desirable.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Experience in data entry, records management, and report preparation is essential.
  • Knowledge of logistics and supply chain processes is required.
  • Strong organizational, communication, and interpersonal skills are necessary for effective collaboration and task management.

Educational Background:
Candidates must have completed secondary school education, and a post-secondary certificate in a relevant field such as Logistics, Supply Chain Management, Business Administration, Procurement, or Accounting is highly desirable. This educational background will provide the foundational knowledge necessary for the various tasks associated with the position.

Experience:
The ideal candidate should have at least four (4) years of progressively responsible work experience in logistics, supply chain operations, business support, administration, warehouse operations, or inventory management. Experience in humanitarian or development organizations is considered an asset, as it demonstrates familiarity with the unique challenges and requirements of working in such environments.

Languages:
Fluency in oral and written English (Level C) is mandatory for this position. Proficiency in additional languages may be considered an advantage, particularly in regions where WFP operates, as it can enhance communication with local partners and stakeholders.
