Job Overview:
The Project Assistant will play a vital role in supporting the LWEP Project team by providing essential administrative, logistical, data management, and operational support. This position is crucial for ensuring compliance with CRS standard operating procedures and policies, which are necessary for the timely planning and execution of all project activities. The successful candidate will be responsible for maintaining a comprehensive project activity implementation tracking system, managing schedules for key project activities, and organizing meetings, workshops, and consultations. Additionally, the Project Assistant will assist in collecting and organizing project data for monitoring and reporting purposes, ensuring that all project activities align with donor compliance requirements. This role requires strong organizational skills and the ability to manage multiple tasks effectively, as well as the capacity to engage with various stakeholders to promote collaboration and successful project implementation.
Duties and Responsibilities:
The Project Assistant will be responsible for a wide range of duties, including but not limited to: maintaining a comprehensive project activity implementation tracking system; managing the scheduling of key project activities; organizing and supporting meetings, workshops, consultations, and field visits; preparing agendas, invitations, meeting materials, and minutes; assisting in the collection and organization of project data for monitoring and reporting; supporting the onboarding and coordination of newly hired project staff and consultants; developing Travel and Accommodation Requests (TAR) for team members; maintaining inventory records of LWEP assets and supplies; organizing and filing project-related procurement and operational documentation; coordinating the distribution of project materials to field locations; providing logistical support during project events; initiating and processing payment requests; reviewing payment requests for accuracy and compliance; maintaining filing systems for project accountability; communicating payment status updates; developing and maintaining relationships with consortium partners and local authorities; facilitating communication between project teams and stakeholders; and promoting effective collaboration to enhance project visibility and success.
Required Qualifications:
Candidates must possess a High School Diploma or a professional certificate in a relevant field. A minimum of 1-3 years of relevant experience in project administration, operations, logistics, finance, grants management, or program support is required, preferably within an NGO, development, or humanitarian organization. Experience supporting donor-funded projects and processing payment requests is essential, along with skills in organizing events, coordinating logistics, and maintaining project documentation. Familiarity with government institutions and community stakeholders is also preferred. Candidates with a Bachelor’s degree in agriculture, Agribusiness, Rural Development, Development Studies, Environmental Science, Project Management, Business Administration, or a related field will have an advantage, as will those with a minimum of 5 years of relevant experience in similar roles.
Educational Background:
The educational background required for this position includes a High School Diploma or a professional certificate in a relevant field. A Bachelor’s degree in areas such as agriculture, Agribusiness, Rural Development, Development Studies, Environmental Science, Project Management, or Business Administration is preferred, as it provides a strong foundation for the responsibilities associated with the Project Assistant role.
Experience:
The position requires a minimum of 1-3 years of relevant experience in project administration, operations, logistics, finance, grants management, or program support, ideally within an NGO, development, or humanitarian organization. Candidates with experience in supporting donor-funded projects, processing payment requests, and coordinating logistics will be favored. Additionally, experience working with government institutions and community stakeholders is beneficial, as it enhances the candidate's ability to engage effectively with diverse groups.
Languages:
Proficiency in English is mandatory for this position, as it is the primary language of communication within the organization and with stakeholders. While English is essential, knowledge of additional languages may be considered an asset, particularly if it facilitates better communication with local communities and partners.
Additional Notes:
This position is full-time and may require travel up to 20%.
