Job Overview:
The Operations and Administration Associate position at WHO South Africa is designed to provide essential administrative, financial, and operational support to a diverse portfolio of public health programs. This role is crucial for ensuring the effective implementation of WHO's operational priorities and compliance with organizational policies. The associate will work closely with the Operations Officer and various program teams, contributing to the coordination of administrative tasks, financial monitoring, logistics support, and records management. Duties and Responsibilities:
The duties and responsibilities of the Operations and Administration Associate include supporting the planning and implementation of WHO operational activities, assisting in coordinating workflows, meetings, travel arrangements, and procurement actions. The associate will also support the UN Country Team's internal coordination mechanisms, including preparing meeting agendas, recording minutes, and tracking action items. Additional responsibilities include conducting research, data collection, and basic analysis to support decision-making, maintaining operational and program activity trackers, and assisting in compiling information for operational reports. The associate will also engage with stakeholders, support communication and visibility efforts, and provide general administrative support across WHO operations, ensuring compliance with administrative procedures and internal controls.

Required Qualifications:
Candidates must possess strong organizational and communication skills, with a demonstrated ability to work collaboratively in a team environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential, along with experience in administrative support roles. The ideal candidate should have a proactive approach to problem-solving and the ability to manage multiple tasks effectively. Familiarity with UN administrative systems and procedures is an advantage, as is experience in public health or related fields.

Educational Background:
A bachelor's degree in public health, business administration, management, or a related field is required for this position. Candidates with advanced degrees or relevant certifications will be given preference. Educational qualifications should reflect a strong foundation in administrative practices and operational management.

Experience:
The position requires at least 1-2 years of relevant experience in administrative support, operations management, or a related field. Experience working in an international organization or within the UN system is highly desirable. Candidates should demonstrate a track record of successfully managing administrative tasks and supporting program implementation in a fast-paced environment.

Languages:
Fluency in English is mandatory, both written and spoken. Knowledge of additional languages, particularly French or Portuguese, is considered an asset and may enhance a candidate's application.

This position is a full-time volunteer assignment with a monthly Volunteer Living Allowance (VLA) of R7,500.00, which is tax-free and intended to support basic living expenses during the assignment. The role is based in South Africa, specifically in Johannesburg or Pretoria, and offers exposure to UN administrative systems and inter-agency coordination. Candidates should be aware of the living conditions in South Africa, including the need for vigilance due to higher crime rates in certain areas.
