Job Overview:
The position of Voluntario(a) en Línea is designed to support the Administration and Finance area of UNFPA Colombia by enhancing document management and accountability. The volunteer will assist in organizing invoices, allowing the team to focus more on strategic tasks that support the organization's programs. The role involves collecting invoices received during the designated periods, renaming them according to the institutional nomenclature, organizing files in the established folder structure, and delivering a consolidated report to the Assistant of Administration and Finance for verification. The measurable outcome of this role is a fully organized repository of invoices for the period, renamed and structured according to institutional guidelines, delivered quarterly along with a brief report on any issues encountered, such as missing, illegible, or duplicate invoices.

Duties and Responsibilities:
  • Collect invoices received during the specified period (bi-monthly cycles).
  • Rename each invoice according to the institutional nomenclature defined by the office.
  • Organize files in the established folder structure.
  • Deliver the consolidated invoices to the Assistant of Administration and Finance for verification.
  • Ensure that the repository of invoices is 100% organized and renamed according to institutional nomenclature, delivered at each bi-monthly cut-off with a brief report on any discrepancies (missing, illegible, or duplicate invoices).

Required Qualifications:
Candidates should possess strong organizational skills and attention to detail. Familiarity with document management systems and basic financial processes is preferred. The ability to work independently and meet deadlines is essential. Proficiency in using office software, particularly spreadsheet and document management tools, is also required.

Educational Background:
A background in administration, finance, or a related field is preferred. Candidates should have completed at least some level of higher education, such as a university degree or equivalent experience in a relevant area.

Experience:
Previous experience in administrative roles, particularly in document management or finance, is advantageous but not strictly necessary. The position is suitable for individuals looking to gain experience in a UN agency and enhance their skills in administration and finance.

Languages:
Fluency in Spanish is mandatory, as the role involves working with Spanish-language documents. Proficiency in English is a plus, as it may facilitate communication with international teams and resources.
