Job Overview: The Staff Assistant position at the Economic Commission for Africa (ECA) involves providing comprehensive administrative support to the Office of the Director. The incumbent will be responsible for managing priorities and workflows, ensuring that management directives are executed efficiently. This role requires a proactive approach to communication, as the Staff Assistant will serve as a liaison between the supervisor and senior staff, conveying important information and updates. The position also entails managing time and scheduling for the Director, organizing meetings and official receptions, and handling a variety of complex information requests. The Staff Assistant will play a crucial role in supporting the Director in preparing for intergovernmental meetings and presentations, as well as maintaining administrative procedures to ensure the smooth functioning of the office.
Duties and Responsibilities: The Staff Assistant will undertake a wide range of responsibilities, including: assisting in the overall administration of the Office of the Director; compiling and analyzing data from various sources; serving as a communications link between the supervisor and senior staff; managing time and scheduling; undertaking representational duties; screening and prioritizing incoming correspondence; researching and summarizing background materials; handling complex information requests; supporting the manager in presentations; establishing and improving administrative procedures; organizing official receptions and meetings; preparing and processing confidential information; exercising quality control for outgoing documents; producing complex documents and reports; managing internal databases; assisting with data collection and analysis; and performing other duties as assigned.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A minimum of seven years of experience in administration, general office support, or a related area is required. Experience in data analytics or related fields is desirable, as is experience in office management and support for conferences and workshops. Knowledge of ERP systems and international organizations' management solutions is also beneficial. An equivalent combination of education and relevant administrative experience may be considered.
Educational Background: The minimum educational requirement for this position is a high school diploma or equivalent. Additional qualifications or certifications in administration or related fields may be advantageous but are not explicitly required.
Experience: The position requires a minimum of seven years of relevant experience in administration or general office support. Candidates with one year or more of experience in data analytics or related areas will be viewed favorably. Experience in office management and supporting the organization of conferences and workshops is also desirable, indicating a well-rounded background in administrative functions.
Languages: The working languages of the United Nations Secretariat are English and French, both of which are required for this position.
