Job Overview:
The Tokyo Cell Assistant position is integral to the operations of the Tokyo Cell, which is part of the Operational Centre Paris (OCP). This role involves supporting the HR Cell Coordinator with both technical and administrative tasks related to the missions in Papua New Guinea, Pakistan, Philippines, Bangladesh, and Iran. The assistant will dedicate 60% of their working time to HR support, which includes managing placement administration and logistics for International Mobile Staff (IMS). The remaining 40% of the time will be spent on supporting cell functioning activities, which may involve organizing events, meetings, and liaising with various departments. The assistant will play a crucial role in ensuring that all necessary documentation and support systems are in place for the effective functioning of the cell and its missions.

Duties and Responsibilities:
The duties and responsibilities of the Tokyo Cell Assistant include managing placement administration and logistics for IMS, coordinating travel arrangements, lodging, visas, work permits, and vaccinations. The assistant will confirm that all pre-departure documents are shared with IMS and ensure that the Matching Docs on the Country Site are updated. They will also support the HR advisor by acting as an alternate on HR information systems, updating the HR database, and collaborating with the Cell HR Coordinator on training facilitation. Additionally, the assistant will conduct analyses of HR data, manage documentation and information, attend weekly cell meetings, and organize administrative needs for cell events. They will be responsible for maintaining high-quality information management and ensuring confidentiality while handling sensitive documents.

Required Qualifications:
Candidates must be enrolled in a master's program in Human Resources, demonstrating a genuine interest in and commitment to the humanitarian principles of MSF. The position requires keen attention to detail, the ability to manage multiple projects simultaneously, and strong interpersonal and communication skills. Proficiency in computer literacy, including word processing and spreadsheet software, is essential. The candidate should possess outstanding time management and organizational skills, the ability to work independently, and excellent judgment and diplomacy. Writing skills for routine business correspondence and internal memos are also necessary.

Educational Background:
The educational background required for this position includes being currently enrolled in a master's course related to Human Resources.
