Job Overview:
The Team Assistant (TA) position at the World Bank in Sydney involves a diverse range of office support tasks, primarily aimed at assisting Task Team Leaders (TTL) and senior staff. The role requires managing processes, monitoring schedules, and conducting research to perform non-routine operational tasks. The TA will need to proactively engage with various resources, including the World Bank intranet and staff in other Country Offices and Washington HQ, to achieve desired outcomes. The position emphasizes the importance of effective communication and collaboration with both internal and external stakeholders, ensuring that the office runs smoothly and efficiently. Duties and Responsibilities:
The Team Assistant will be responsible for a comprehensive range of duties including: managing office support work, monitoring schedules for Task Team Leaders and senior staff, drafting routine correspondence and project-related documents, proofreading materials, and incorporating feedback into documents. The TA will utilize word processing, spreadsheets, and presentation software to produce complex reports and figures according to World Bank standards. Additionally, the role involves coordinating schedules, solving non-routine problems, preparing for events such as conferences and workshops, and maintaining project files. The TA will also assist with budget monitoring, consultant contracts, and travel arrangements, while ensuring effective communication with internal and external contacts.
Required Qualifications:
Candidates should possess a high school diploma with at least 5 years of relevant experience, or an equivalent combination of education and experience. A university degree is preferred. Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint is essential, along with a working knowledge of SAP and other World Bank applications. Candidates should demonstrate effective time management, organizational skills, and the ability to produce high-quality work under pressure. Strong interpersonal skills and the ability to work in a multi-cultural environment are also required, along with the legal right to work in Australia.
Educational Background:
The preferred educational background for this position includes a high school diploma, with a university degree being advantageous. Candidates should have a solid foundation in administrative support and office management, complemented by relevant experience in similar roles.
Experience:
The position requires a minimum of 5 years of experience in administrative support or office management roles. Candidates should demonstrate a proven track record of effectively managing office tasks, supporting senior staff, and working in a dynamic environment. Experience in international organizations or development sectors is a plus, as it aligns with the World Bank's mission and operational context.
Languages:
The mandatory language for this position is English. Proficiency in additional languages would be considered an asset, enhancing communication with diverse stakeholders and contributing to the organization's global operations.
