Job Overview: The Logistics Assistant SC5 position at WFP is crucial for ensuring the effective implementation of standardized logistics and supply chain procedures. The role is based in the field office of Mao, where the incumbent will report to the Logistics Officer or the Head of the Mao office. The Logistics Assistant will be responsible for interpreting and applying standard guidelines and practices to facilitate the delivery of food assistance to beneficiaries. Duties and Responsibilities:
Assist in the execution of logistics operations and activities, ensuring adherence to standard procedures and facilitating the timely delivery of food assistance to beneficiaries.
Support the ordering and timely delivery of goods and supplies to authorized partners and designated sites.
Manage contractual activities with logistics service providers, including performance monitoring and evaluation.
Address technical inquiries and requests for assistance, ensuring compliance with standard procedures and seeking guidance when necessary to resolve issues promptly.
Contribute to the establishment, monitoring, and revision of budgets for all execution modalities, ensuring compliance with applicable procedures.
Assist in overseeing stock management operations, analyzing trends, and reporting on stock status from source to beneficiary.
Ensure the quality and integrity of data related to product accounting.
Support operational supply chain analysis, assessments, and planning for all execution modalities.
Process documentation related to logistics operations (customs clearance, invoice verification), taking necessary actions to resolve operational issues and escalate various problems to the supervisor. 1
Collect and compile data, prepare reports, or contribute to report preparation, ensuring accuracy of information in internal systems to facilitate informed decision-making. 1
Liaise with internal stakeholders and a limited number of external stakeholders to assist in managing logistics operations efficiently. 1
Provide guidance to other support staff to help them carry out routine tasks in accordance with agreed standards and timelines.
Required Qualifications: The ideal candidate for the Logistics Assistant SC5 position should possess a minimum of five years of experience in logistics or supply chain management. Familiarity with internal systems used for tracking shipments, supplies, claims, and food stocks is essential. The candidate should have experience in data analysis related to goods, funds, etc., and in report preparation. Additionally, experience in evaluating service provider performance against defined key performance indicators and assisting in the preparation of contractual documents is required. The candidate should also have experience in providing technical assistance in the use of internal systems.
Educational Background: Candidates must have completed secondary education. A post-secondary diploma in logistics or a related field is desirable, as it provides a foundational understanding of logistics principles and practices that are critical for this role.
Experience: A minimum of five years of relevant experience in logistics or supply chain management is required. This experience should include working with logistics operations, managing supply chains, and utilizing internal tracking systems for shipments and inventory management. Candidates should also have experience in data analysis and reporting, as well as in evaluating service provider performance.
Languages: Fluency in French is mandatory for this position, as it is the primary language of communication in the region. Proficiency in English is considered an asset, as it may facilitate communication with international partners and stakeholders.
