Job Overview:

Required Qualifications:
Candidates for the Supply Chain Assistant position must possess a minimum of 1-2 years of experience in humanitarian logistics management, specifically within the fields of supply chain management, fleet management, asset management, and distribution support. They should have knowledge and experience in managing service providers and contractors, demonstrating high integrity and a proactive, stable character. Excellent communication skills, analytical abilities, and negotiation skills are essential. Experience working in NGOs and a proven commitment to accountability practices are also required. Proficiency in computer applications, including word processing and database management, is necessary for this role.
Educational Background:
The educational background required for the Supply Chain Assistant position includes a Bachelor’s degree in Business Administration, Supply Chain Management, or other relevant fields. Candidates should also possess any relevant certifications or licenses that enhance their qualifications for the role.
Experience:
The ideal candidate should have at least 1-2 years of relevant experience in humanitarian logistics management. This experience should encompass various aspects of supply chain management, including procurement, fleet management, and asset management. Familiarity with the operational challenges faced in humanitarian contexts is highly desirable, as is experience in working with diverse teams and stakeholders.
Languages:
Fluency in written and spoken English is mandatory for this position. - Supporting and administering procurement processes in accordance with DRC Operations Handbook.
- Providing effective and efficient logistical support to program needs.
- Developing and maintaining relevant databases for procurement and logistics activities.
- Managing the procurement follow-up process and generating weekly and monthly status reports.
- Overseeing warehouse management, including reporting and alert mechanisms for program staff.
- Assisting in the recruitment, training, and capacity building of the logistics team.
- Coordinating with program staff to ensure logistics involvement throughout the program cycle.
- Procuring all goods and services as per established annual procurement plans.
- Tracking all orders, purchases, and deliveries to ensure timely fulfillment. 1
- Ensuring compliance with logistics-specific donor rules and policies. 1
- Overseeing all purchase and service contracts to protect DRC's interests. 1
- Optimizing logistics operations to enhance cost-effectiveness, including establishing long-term supply contracts. 1
- Ensuring effective supplier due diligence in the relevant context. 1
- Correctly applying ERP supply chain processes and ensuring compliance with the Operations Handbook. 1
- Providing monthly comprehensive country reports on procurement activities to the Supply Chain Manager. 1
- Implementing tools to improve procurement management and facilitating the establishment of framework agreements. 1
- Managing fleet and asset management processes in line with DRC Operations Handbook. 1
- Ensuring quality transport and services for the organization, including routine maintenance and repair of vehicles and generators. 1
- Ensuring that all vehicles carry the required on-board documentation and that all documents are kept current, including insurance.
