Job Overview:
The Program Assistant position at PSI is designed to support the operational excellence and execution of quality deliverables and standards within the organization. This role is integral to PSI’s Delivery team, which is a proactive and agile project management group focused on providing support to the markets served by PSI. The Program Assistant will engage in a variety of administrative and operational tasks, ensuring that the daily operations of assigned projects run smoothly. This includes liaising with global technical teams, service departments, and country project teams to facilitate routine administrative needs and daily activities. The position offers a unique opportunity to work collaboratively with teams across PSI's global network, contributing to the organization's mission of improving health outcomes for individuals and communities.

Duties and Responsibilities:
The Program Assistant will be responsible for providing routine administrative support for daily operations and project management of the assigned portfolio. Key responsibilities include:
  • Assisting with basic financial management tasks, such as team budget management, procurement, and payment processing for consultants, vendors, and subrecipients.
  • Managing and reconciling purchasing card transactions.
  • Supporting knowledge management activities by designing tools and systems for information tracking, creating and maintaining internal filing systems, and developing communications materials.
  • Maintaining online communication sites and ensuring that information is organized and accessible.
  • Embodying PSI’s core values of Measurement, Pragmatism, Honesty, Trust, Collaboration, and Commitment in all aspects of work.
  • Performing additional duties as assigned by the Senior Program Manager, which may not be explicitly listed but are essential to the role.

Required Qualifications:
Candidates for the Program Assistant position should possess an Associate's degree (or international equivalent) in a related field, with a Bachelor's degree (or international equivalent) preferred. While some work experience is preferred, strong written and verbal communication skills are essential. Proficiency in MS Office applications is required, along with excellent organizational and administrative skills, particularly attention to detail and timeliness.
