Job Overview: The Business Support Assistant plays a crucial role in providing administrative and finance support to ensure the efficient implementation of routine operational processes and the delivery of high-quality business support services. This position is integral to maintaining document management, filing, payment processing, system data accuracy, reporting, and audit support. The assistant will work under the supervision of the Senior Finance Associate and the Head of Finance Unit, ensuring that resources are managed effectively and efficiently. Duties and Responsibilities: The Business Support Assistant will be responsible for a variety of tasks, including but not limited to: supporting routine administrative and financial processes, maintaining organized filing systems and standard records, reviewing and updating registers and documentation, scanning, filing, and archiving invoices and receipts, printing cheques, uploading payments into relevant systems, collecting supplier information, identifying discrepancies in records, gathering information for report preparation, drafting documents and routine correspondence, supporting audit processes, and responding to routine queries in a timely manner. The assistant will also perform other related duties as required, ensuring that all tasks are completed accurately and efficiently to support the finance unit's operations.
Required Qualifications: Candidates must possess a completion of secondary school education, with a first university degree in Business Administration, Office Management, or a related functional area being desirable. Additionally, candidates should have four or more years of progressively responsible work experience in a relevant business stream, particularly in general administrative work. Proficiency in the use of office equipment and computer software packages, such as Microsoft Word, is essential. Candidates should also demonstrate strong analytical skills, attention to detail, good organizational and time management skills, and the ability to work independently as well as part of a team.
Educational Background: The educational requirements for this position include the completion of secondary school education as a minimum. A first university degree in Business Administration, Office Management, or any other related functional area is highly desirable and will enhance a candidate's suitability for the role.
