Job Overview: The Human Resources Assistant Intern will provide operational support to the HR team at the UNFPA Country Office in Uganda. This role is designed for individuals who are eager to learn about HR processes and contribute to the effective delivery of HR services. The intern will work under the guidance of the Representative and a Human Resources Analyst, gaining hands-on experience in various HR functions. The internship is expected to last between three to six months, during which the intern will learn to apply relevant rules, guidelines, and procedures while delivering impartial services to all staff, contractors, and consultants associated with UNFPA Uganda. The intern will be involved in recruitment, onboarding, and staff management processes, ensuring compliance with UNFPA regulations and fostering a collaborative work environment.
Duties and Responsibilities: The HR intern will be responsible for a variety of tasks, including but not limited to: participating in recruitment and placement by maintaining recruitment files and ensuring all documentation is complete; preparing manual offers and contracts for individual consultants; maintaining completion status reports for mandatory training and following up with staff; drafting offer and appointment letters; preparing orientation packages for new staff; responding to routine HR queries; reviewing and updating staff and dependent lists; administering staff entitlements; supporting staff separation processes; and ensuring all HR function documents are properly filed. The intern will also contribute to the overall management of the HR team and assist in resolving HR-related issues.
Required Qualifications: Candidates must demonstrate a strong interest in the field of development and possess some experience working with development agencies, including volunteer work. They should exhibit strong analytical and writing skills, initiative, sound judgment, and the ability to work harmoniously with diverse teams. Proficiency in English is mandatory, and knowledge of additional languages is considered an asset. Candidates should also demonstrate the ability to adapt to new environments and establish good working relationships with individuals from various cultural backgrounds.
Educational Background: Applicants must meet one of the following educational requirements: be enrolled in a first university degree program (such as a bachelor’s degree) and have completed one full academic year; be enrolled in a postgraduate degree program (such as a master’s program); have recently graduated with a university degree and must start the internship within one year of graduation; or be enrolled in a postgraduate professional trainee program and undertake the internship as part of this program.
Experience: The position requires some level of experience, preferably in a development agency or similar environment. This can include volunteer experience or internships that provide exposure to HR functions and processes. The intern should be able to demonstrate a commitment to learning and professional development within the HR field.
Languages: Fluency in English is required, and knowledge of other official UN languages is advantageous. Candidates should demonstrate proficiency in at least one of the working languages of the United Nations (English or French) and fluency in the official languages of the UNFPA office, which may include Arabic, Chinese, English, French, Russian, or Spanish.
Additional Notes: The internship is unpaid, but interns will receive a stipend to help cover basic daily expenses if they are not financially supported by any institution or program. Interns must have medical insurance for the duration of the internship, and proof of insurance must be submitted before the internship begins. UNFPA does not provide medical insurance for interns.
