Job Overview: The Receptionist plays a crucial role in ensuring the smooth operation of the Resident Office (RO) by providing essential secretarial, clerical, and administrative support to the staff. This position serves as the first point of contact for visitors and callers, requiring excellent communication skills and a professional demeanor. The Receptionist is responsible for managing incoming calls, greeting visitors, and addressing general inquiries, thereby contributing to a welcoming and efficient office environment. Additionally, the role involves maintaining office supplies, coordinating with service providers, and assisting with various clerical tasks to support the overall functioning of the office. The Receptionist must be proactive in managing office activities and ensuring that all administrative processes run smoothly, thereby enabling the Resident Office staff to focus on their core responsibilities.
Duties and Responsibilities: The Receptionist's duties are divided into two main categories: Reception (75%) and Clerical/Administrative (25%). In the Reception role, the individual will screen incoming telephone calls, determine their purpose, and forward them to the appropriate personnel or department. They will also take and deliver messages when necessary, answer questions about the organization, and provide callers with relevant information such as addresses and directions. The Receptionist will greet and receive visitors, ascertain the nature of their business, and direct them to the appropriate personnel while maintaining a visitors log. They may also prepare meeting rooms with necessary equipment and refreshments, arrange visitor passes, and assist visiting missions as required. In the Clerical/Administrative capacity, the Receptionist will arrange couriers, sort and process mail, scan, copy, and send documents, and assist with maintaining archives and filing systems. They may schedule appointments for RO staff, organize conference and meeting room bookings, and manage transportation arrangements for EBRD visitors. Additional responsibilities may include providing secretarial backup to bankers, maintaining staff whereabouts schedules, checking general RO emails, and assisting with local visa arrangements for staff.
Required Qualifications: Candidates must possess a minimum of secondary education, with a preference for university-level education. Previous experience in a receptionist or secretarial role is essential, along with familiarity with office equipment such as photocopiers. Excellent verbal communication skills and a good telephone manner are required, as well as strong interpersonal skills. Proficiency in computer applications, particularly Microsoft Word and Outlook, is necessary, along with the ability to acquire new skills as needed. The ideal candidate should demonstrate the ability to work independently, take responsibility, and collaborate effectively within a team. Multilingual capabilities, particularly in English and the relevant country language, are highly desirable.
