Job Posting Organization:
The World Health Organization (WHO) Office in the occupied Palestinian territory serves as the principal technical adviser to the Palestinian Ministry of Health. Its mission is to strengthen health services, address public health issues, and promote health research. Established to lead the humanitarian Health and Nutrition Cluster, WHO coordinates assistance from international and local partners to the health sector. The organization employs approximately 45 staff members across its offices in the West Bank and Gaza, including both international and local professionals with expertise in various health-related fields. WHO collaborates with numerous partners, including United Nations agencies, donors, non-governmental organizations, universities, and the private sector, to support the Palestinian Authority in achieving its national health development goals and ensuring coordinated efforts among all involved organizations.

Job Overview:
The UN Volunteer in this position will play a crucial role in supporting the Operational Support and Logistics (OSL) team, particularly in the context of the humanitarian crisis in Gaza. The role involves assisting with the preparation and submission of UN2720 documentation, which is essential for the entry of critical medical supplies into Gaza. The volunteer will also help manage COGAT documentation processes and provide general administrative support to the OSL team. This position requires a detail-oriented individual who can handle routine tasks efficiently while ensuring compliance with established procedures and documentation standards. The volunteer will be expected to maintain organized records, track submission statuses, and assist in the preparation of reports and updates, thereby facilitating the timely delivery of humanitarian assistance.

Duties and Responsibilities:
The duties and responsibilities of the UN Volunteer include:
  • UN2720 Documentation and Tracking Support: - Assist in preparing and compiling UN2720 submission packages using standard templates. - Check the completeness of documentation against established checklists before submission. - Accurately enter and update data in tracking tools and spreadsheets. - Maintain organized electronic filing systems for all submissions, approvals, and related correspondence. - Monitor the status of submissions and follow up internally on pending documentation. - Support the preparation of routine status updates and reports.
  • COGAT Documentation Support: - Compile documentation required for COGAT approval processes. - Ensure all required documents are properly formatted and filed. - Update internal trackers with submission and approval status. - Support follow-up actions by collecting and organizing additional documents requested. - Maintain an up-to-date and accessible database of all requests and approvals.
  • General Administrative Support: - Provide day-to-day administrative support to the OSL team, particularly in document management. - Organize, archive, and maintain records in line with WHO standards (both electronic and hard copy). - Assist colleagues in locating documents and ensuring proper version control. - Support the use and updating of internal tools such as trackers, checklists, and templates. - Draft simple correspondence, emails, and standard communication templates. - Perform other related administrative tasks as required.

Educational Background:
Candidates should possess a relevant educational background, ideally in fields related to public health, administration, or logistics. A degree or equivalent qualification in these areas will be advantageous for this role, as it will provide the necessary foundation for understanding the complexities of health logistics and documentation processes.

Experience:
The ideal candidate should have some level of experience in administrative support or logistics, particularly in a humanitarian or health-related context. While specific years of experience may not be mandated, familiarity with documentation processes and administrative tasks in a similar environment will be beneficial. Experience working with international organizations or NGOs is a plus.

Languages:
Fluency in English is mandatory for this position, as it is the primary language of communication within the organization. Knowledge of Arabic is highly desirable, given the local context and the need to communicate effectively with local partners and stakeholders. Additional languages may be considered an asset but are not required.

Additional Notes:
The contract for this position is for a specified duration, with the possibility of extensions based on funding availability, operational necessity, and satisfactory performance. However, there is no expectation of renewal of the assignment. The volunteer will receive a monthly Volunteer Living Allowance of ILS 6730.16 to cover housing, utilities, and normal living expenses. The position includes life, health, and permanent disability insurance, as well as health insurance for up to three dependents (excluding UN Community Volunteers). Final repatriation benefits may also apply if relevant.
