Job Overview:
The Archivist position is crucial for the organization as it involves working closely with the Risk and Management Coordinator. The primary function of this role is to manage the mission's archives effectively. This includes structuring, inventorying, indexing, digitizing, and securing all archival materials. The Archivist will collaborate with both support and program teams to ensure that all documentation is organized and accessible, which is essential for the organization's operational efficiency and compliance with regulatory standards. The role requires a proactive approach to managing information and ensuring that historical records are preserved for future reference.

Duties and Responsibilities:
  • Organize and maintain the archives of the mission, ensuring that all documents are properly categorized and stored.
  • Develop and implement an inventory system for easy access to archived materials.
  • Digitize physical documents to create a digital archive that is secure and easily retrievable.
  • Collaborate with program teams to identify key documents that need to be archived and ensure they are included in the inventory.
  • Ensure compliance with data protection regulations when handling sensitive information.
  • Train staff on best practices for document management and archiving.
  • Conduct regular audits of the archives to ensure accuracy and completeness.
  • Assist in the development of policies and procedures related to records management.

Required Qualifications:
  • Strong organizational skills and attention to detail.
  • Proficiency in archival management software and digital archiving tools.
  • Knowledge of data protection laws and best practices in records management.
  • Ability to work collaboratively with diverse teams and stakeholders.
  • Strong communication skills, both written and verbal, in French and English.

Educational Background:
A bachelor's degree in archival science, library science, information management, or a related field is required. Additional certifications in records management or digital archiving are preferred.

Experience:
A minimum of 3 years of experience in archival management or records management is required. Experience working in a humanitarian or development context is an advantage. Familiarity with the Central African Republic's regulatory environment regarding data management is also beneficial.

Languages:
Fluency in French is mandatory, and proficiency in English is highly desirable. Knowledge of local languages is a plus.

Additional Notes:
