Duties and Responsibilities:
Required Qualifications:
The ideal candidate should possess a minimum of five years of relevant experience, preferably within an international organization or private sector company. A Bachelor’s degree is strongly preferred. Strong organizational skills are essential, particularly in managing complex calendars, missions, and operational workflows. The candidate must demonstrate experience in engaging with high-level partners in both government and private sectors. Proficiency in using digital tools and AI-enabled features to draft, organize, summarize, and manage information efficiently across a range of administrative and operational tasks is required. Full proficiency in computer applications, including standard office software and AI tools, is necessary. Excellent command of both English and Spanish, both oral and written, is mandatory.
Educational Background:
Candidates are expected to have a Bachelor’s degree, with a preference for fields related to administration, business, or international relations. Advanced degrees may be considered an asset but are not mandatory. The educational background should ideally align with the responsibilities of the role, equipping the candidate with the necessary skills to navigate the complexities of international development and administrative support.
Experience:
A minimum of five years of relevant professional experience is required for this position. Duties and Responsibilities:
- Executive Support to the World Bank Group Country Representative: Provide comprehensive and discreet executive support, ensuring high standards in handling sensitive information. Prepare and quality check documents, briefings, and correspondence for the Representative, leveraging AI-enabled drafting and summarization tools to ensure accuracy, consistency, and efficiency. Manage a complex calendar, anticipating priorities, resolving conflicts, and ensuring smooth coordination, using digital scheduling and task management tools to maintain real-time visibility across commitments. Maintain active communication with staff and partners to surface issues requiring timely attention. Ensure the Representative is fully prepared for missions, meetings, and high-level engagements, including the use of AI tools to compile background research, summarize briefing materials, and generate talking points efficiently. Coordinate detailed travel logistics to maintain efficiency and continuity.
- Operational and Client Engagement: Contribute strategically to and lead the coordination of VIP visits and study tours, including agendas, protocol, logistics, and briefing materials. Support the planning and scheduling of annual business plans, strategic initiatives, and partnership activities. Engage effectively with senior stakeholders across government, private sector, and WBG teams. Conduct targeted research to support client relationship management, applying AI-enabled tools to synthesize information quickly and accurately. Contribute to organizing knowledge and innovation outputs to strengthen information flow and global exchanges. Assist technical teams by identifying relevant institutions, establishing contacts, and ensuring follow-up. Oversee mission and event planning, anticipate conflicts, and maintain the Country Office calendar using integrated digital tools that improve visibility across teams.
- Office Coordination & Team Leadership: Ensure the smooth and efficient operation of the Country Office and delivery of quality administrative services. Organize and oversee workflows within the ACS team to ensure effective coverage, applying digital workflow tools to track tasks, deadlines, and handoffs. Provide guidance and foster a collaborative, forward-looking, and knowledge-sharing environment. Mentor junior staff and identify training needs to strengthen team capacity, including guiding team members in the effective use of digital platforms and AI tools in their daily work. Promote the use of corporate systems, digital tools, and AI solutions to enhance productivity. Use AI-enabled tools to draft, organize, summarize, and manage information efficiently across office functions, while maintaining accuracy and quality standards. Maintain distribution lists, databases, and internal communication channels updated. Coordinate office team meetings and facilitate timely information flow. Serve as HR Proxy for routine processes and ensure compliance with WBG HR procedures, contract architecture requirements, onboarding and relocation processes.
