Job Overview:
As a Human Resources Assistant specializing in Onboarding and Recruitment, you will play a vital role in the HR team, contributing to the recruitment and onboarding processes within the organization. Your responsibilities will include providing administrative support to the HR department, ensuring compliance with DRC guidelines and Ukrainian labor legislation. You will be involved in various aspects of the recruitment process, from editing job descriptions and advertising vacancies to screening resumes and conducting phone interviews. Your role will also encompass preparing documentation for new hires, organizing interviews, and facilitating HR onboarding sessions for newly recruited staff. This position requires a proactive approach to recruitment, utilizing both active and passive candidate sourcing strategies to attract the best talent for DRC.

Duties and Responsibilities:
  • Ensure that the staff recruitment process adheres to DRC procedures and complies with local labor laws.
  • Edit and refine job descriptions and job advertisements for various positions.
  • Advertise job vacancies on DRC's website and local job boards.
  • Screen and review resumes and job applications, conducting phone screenings as necessary.
  • Utilize various sourcing methods for active and passive candidate recruitment, employing the best practices established by DRC.
  • Prepare long lists of candidates, organize interviews, and conduct reference checks, ensuring all relevant documentation is in place.
  • Send job offers and process necessary documents for new hires.
  • Ensure that all DRC recruitment tools and documents are utilized throughout the recruitment process.
  • Maintain and update the Vacancy Tracker to reflect current recruitment status. 1
  • Provide welcoming and informative HR onboarding sessions for newly recruited staff. 1
  • Perform administrative tasks related to the hiring of new employees, including collecting required documents from candidates in accordance with local labor laws. 1
  • Ensure that all internal DRC documents are accurately completed. 1
  • Assist in drafting job descriptions for staff performance and development processes. 1
  • Ensure compliance with HR legislation and DRC policies throughout all HR activities.

Required Qualifications:
To be considered for this position, candidates must possess strong attention to detail, excellent communication skills, and robust soft skills that facilitate effective collaboration and interaction with various stakeholders. The ideal candidate should demonstrate a proactive approach to problem-solving and possess the ability to work independently as well as part of a team. Additionally, candidates should have a solid understanding of HR practices and procedures, particularly in the context of recruitment and onboarding.

Educational Background:
Candidates must hold a Bachelor's degree in human resources management or a related field. Alternatively, equivalent professional qualifications that demonstrate a solid understanding of HR principles and practices will also be considered acceptable. This educational background is essential to ensure that the candidate is well-equipped to handle the complexities of HR functions within the organization.

Experience:
A minimum of 1 year of experience in a similar HR role is required, particularly in recruitment or other HR-related tasks. Candidates with prior experience in a fast-paced environment or those who have worked in humanitarian or non-profit sectors will be viewed favorably. This experience is crucial for understanding the unique challenges and requirements of HR functions within DRC.

Languages:
Fluency in Ukrainian is mandatory for this position, as it is essential for effective communication with candidates and staff. Proficiency in English is considered an asset and will enhance the candidate's ability to engage with international colleagues and stakeholders, making it a valuable skill for this role.

Additional Notes:
The position offers a contract length of 3 months, with a probation period during which performance will be evaluated. There is a possibility of extension based on performance and the availability of funding. The designated duty station for this role is Kharkiv, and the start date is as soon as possible. Salary and conditions will be aligned with the Danish Refugee Council’s Terms of Employment for national employees.
