Job Overview:
The Project Assistant will play a crucial role in supporting the implementation and monitoring of project activities under the supervision of the Chief of Mission in Warsaw and the Field BN Coordinator in Podkarpackie. This position requires a proactive individual who can assist in various administrative matters related to the HRR unit. The successful candidate will be responsible for compiling, analyzing, and presenting data on specific project topics, ensuring that project activities are executed efficiently and effectively. The role also involves monitoring budgets, verifying fund availability, and coordinating administrative actions with various organizational units and external parties. The Project Assistant will draft reports, correspondence, and other documentation related to project issues, respond to complex inquiries, and organize meetings and training sessions. This position is integral to ensuring that project objectives are met and that the organization maintains strong relationships with local authorities, partners, and stakeholders.

Duties and Responsibilities:
The Project Assistant will be responsible for a wide range of duties, including but not limited to: assisting in the implementation and monitoring of project activities; retrieving, compiling, summarizing, analyzing, and presenting information/data on specific project topics; monitoring project budgets and verifying the availability of funds; acting as a focal point for administrative coordination of project implementation; drafting status reports and correspondence on project issues; preparing and updating reports, briefing notes, graphics, and statistical tables; responding to complex information requests; setting up and maintaining files/records; organizing meetings, workshops, and training sessions; participating in meetings and conferences; assisting in coordinating implementation activities with local authorities and various stakeholders; monitoring the work of implementing partners and reporting non-compliances; providing guidance and training to new or junior staff; and performing other related duties as assigned.

Required Qualifications:
Candidates must possess a school diploma with five years of relevant experience or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with three years of relevant professional experience. Additionally, candidates should have experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs, as well as experience working with migrants, refugees, and other vulnerable groups. Prior work experience with international humanitarian organizations is considered an advantage.

Educational Background:
The educational background required for this position includes a school diploma with five years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited institution. This educational foundation is essential for understanding the complexities of migration and humanitarian work.

Experience:
The position requires candidates to have a minimum of three years of relevant professional experience if they hold a Bachelor’s degree, or five years if they possess only a school diploma. Experience should include liaising with governmental authorities and working with migrants, refugees, and vulnerable groups. Familiarity with international humanitarian organizations and multi-cultural settings is highly desirable.

Languages:
Fluency in English and Polish is required for this position, both oral and written. Additionally, working knowledge of Ukrainian and Russian is considered desirable, as it would enhance communication with diverse populations and stakeholders involved in the projects.

The position is subject to local recruitment, meaning only candidates with a valid residence and work permit for Poland will be considered. The appointment will be contingent upon medical fitness certification and verification of residency and visa requirements.
