Job Overview:
The Receptionist plays a crucial role in the effective operation of the Resident Office (RO) by providing essential secretarial, clerical, and administrative support to the staff. This position serves as the first point of contact for visitors and callers, ensuring that inquiries are handled professionally and efficiently. The Receptionist is responsible for managing the flow of communication, greeting visitors, and maintaining the office environment, including supplies and equipment. The role requires a proactive approach to problem-solving and the ability to multitask in a dynamic office setting. The Receptionist will also assist with various clerical duties, contributing to the overall productivity of the office and supporting the Resident Office staff in their daily tasks.

Duties and Responsibilities:
The Receptionist's primary responsibilities include managing incoming telephone calls, determining their purpose, and directing them to the appropriate personnel or department. They will take messages when necessary and provide information about the organization to callers. The Receptionist will greet and receive visitors, ascertain the nature of their business, and guide them to the appropriate staff members while maintaining a visitor log. Additionally, they may prepare meeting rooms with necessary equipment and refreshments, arrange visitor passes, and assist with monitoring visitor statistics. In terms of clerical and administrative duties, the Receptionist will handle mail processing, document scanning and copying, and may assist with maintaining archives and filing systems. They will also schedule appointments for staff, organize conference room bookings, and provide transportation arrangements for EBRD visitors as needed. The role may involve supporting secretarial staff and managing the general RO email, ensuring effective communication within the office.

Required Qualifications:
