Job Overview:
The Building Services Associate position is crucial for ensuring the smooth operation of building management services within UNHCR. The incumbent will be responsible for coordinating activities within the Building Management Unit, ensuring that services are delivered efficiently and effectively to internal customers. This role involves regular interaction with both internal stakeholders and external service providers, requiring strong communication and organizational skills. The Building Services Associate will also be expected to propose improvements to enhance service delivery and operational efficiency. The position requires a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously while maintaining a high level of service quality.

Duties and Responsibilities:
The Building Services Associate will oversee all service requests for the unit, ensuring that work is distributed effectively among team members. They will monitor compliance of contracted service providers with established terms of reference and recommend corrective actions as necessary. The role includes supporting the supervisor in managing the procurement of items and services for building maintenance, organizing events and receptions, managing official vehicles, and supervising both UNHCR and outsourced staff. Additionally, the incumbent will handle transportation logistics, manage warehouse operations, prepare requisitions, and ensure timely delivery of services. They will also be responsible for verifying invoices, managing risks, and performing other related duties as required.

Required Qualifications:
Candidates must possess a minimum of 3 years of relevant experience with a High School Diploma, or 2 years of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include experience in support services related to building maintenance, financial management, logistics, and procurement. Familiarity with ERP systems and experience in supervising staff are also required. Knowledge of UN administrative rules and procedures, as well as proficiency in Microsoft Office, are desirable qualifications.

Educational Background:
A High School Diploma is required for candidates with 3 years of relevant experience, while those with a Bachelor’s degree or higher need only 2 years of relevant experience. A valid driving license is also essential for this position.

Experience:
The position requires candidates to have at least 3 years of relevant experience in support services, particularly in areas related to building maintenance, financial management, logistics, and procurement. Experience in supervising and managing staff is also essential for this role, as well as familiarity with ERP systems and supply chain management.

Languages:
Knowledge of English is mandatory, and candidates should also be familiar with the UN working language of the duty station if it is not English. For General Service jobs, knowledge of English and/or the UN working language of the duty station is required. Local language proficiency is also advantageous.
