Job Overview:
The Senior Registration Assistant plays a crucial role within the Registration team at UNHCR. This position involves a variety of responsibilities centered around the registration of asylum seekers and refugees. The incumbent will support all activities related to registration, which may include functions such as reception, filing, and data management. A significant aspect of this role is to provide counseling and respond to queries from asylum seekers and refugees regarding UNHCR's registration procedures, their rights, and entitlements. The Senior Registration Assistant will work closely with protection staff and partners to ensure the timely identification and referral of persons of concern (POC) for protection follow-up. Additionally, the incumbent may assist in compiling and analyzing information related to registration activities within the operation. The role may also require providing interpretation and translation services when necessary, depending on the language competencies of the incumbent. All staff members at UNHCR are expected to perform their duties in accordance with the organization's regulatory framework, which includes adherence to the UN Charter, UN Staff Regulations and Rules, and UNHCR Policies. Duties and Responsibilities:
The duties and responsibilities of the Senior Registration Assistant include: assisting in the implementation of registration strategies and methodologies for persons of concern (POC); conducting registration interviews as required in accordance with established standards and guidance; providing counseling and responding to inquiries from asylum seekers and refugees regarding registration procedures and their rights; maintaining accurate and up-to-date records and data related to individual registration cases; identifying persons with specific needs and ensuring timely referrals for protection follow-up; collaborating with protection staff and partners in delivering assistance and programming, including the provision of identity and entitlement documentation; drafting correspondence and reports related to registration activities; providing statistics and drafting reports related to registration data as requested; acting as an interpreter and translator when needed; referring cases to other units within the office and to implementing partners as necessary; supporting the identification and management of risks and opportunities impacting objectives in the area of responsibility; and performing other related duties as required.
Required Qualifications:
The required qualifications for the Senior Registration Assistant position include a minimum of 2 years of relevant experience with a High School Diploma, or 1 year of relevant work experience with a Bachelor’s degree or equivalent higher education. Essential qualifications include good computer skills, particularly in data management, and desirable qualifications include training in the basic principles of international protection and experience working with UNHCR proGres software. The candidate should also possess functional skills in data management, program management, data collection and analysis, registration standard operating procedures design and implementation, and training facilitation, as well as computer literacy and familiarity with IT refugee systems and applications.
Educational Background:
The educational background required for this position includes a High School Diploma as a minimum, with a preference for candidates holding a Bachelor’s degree or higher in relevant fields such as social sciences, statistics, mathematics, or information technology. Certificates and licenses in these areas are considered essential for the role.
Experience:
Candidates for the Senior Registration Assistant position should have a minimum of 2 years of relevant experience in a similar role, particularly in registration or refugee assistance contexts. Experience working in remote environments and familiarity with the local context, especially in East Sudan, is highly desirable. The ability to work effectively in challenging conditions and to engage with diverse populations is crucial for success in this role.
Languages:
For this position, knowledge of English is mandatory, along with proficiency in the UN working language of the duty station if it is not English. For General Service jobs, knowledge of English and/or the UN working language is required, and familiarity with the local language is advantageous. The expected overall language ability should be at least at the B2 level for the required languages, with additional languages being a plus.

- The position is based in Um-Rakuba camp, Gedaref, which is one of the largest camps hosting Ethiopian refugees. The incumbent will report to the Registration Associate based in Gedaref and will work closely with the Assistant Field Officer in Um-Rakuba camp. The role involves a significant amount of interaction with the refugee population, ensuring that registration activities meet established standards. The position does not require a functional clearance and is expected to contribute to a safe and empowering working environment for all staff members.
