Job Overview: The Senior Registration Assistant plays a crucial role within the Registration team at UNHCR, primarily responsible for supporting all activities related to the registration of asylum seekers and refugees. This position involves a variety of functions, including reception duties, filing, and data management. The incumbent will provide essential counselling to asylum seekers and refugees, addressing their queries regarding UNHCR's registration procedures, rights, and entitlements. Additionally, the Senior Registration Assistant will work closely with protection staff and partners to ensure timely identification and referral of persons of concern (POC) for necessary protection follow-up. The role may also involve compiling and analyzing information related to registration activities, as well as providing interpretation and translation services when required. The incumbent is expected to perform their duties in alignment with UNHCR's regulatory framework, including adherence to the UN Charter, Staff Regulations and Rules, and UNHCR Policies, while embodying the organization's core values of professionalism, integrity, and respect for diversity.
Duties and Responsibilities: The Senior Registration Assistant will be responsible for a comprehensive set of duties, including but not limited to: assisting in the implementation of registration strategies and methodologies for persons of concern; conducting registration interviews in accordance with established standards and guidance; providing counselling and responding to queries from asylum seekers and refugees regarding registration procedures and their rights; maintaining accurate and up-to-date records and data related to individual registration cases; identifying persons with specific needs and ensuring timely referral for protection follow-up; collaborating with protection staff and partners in delivering assistance and programming; drafting correspondence and reports related to registration activities; providing statistics and drafting reports related to registration data as requested; acting as an interpreter and translator when necessary; referring cases to other units and implementing partners; and supporting the identification and management of risks while seeking opportunities that impact objectives in the area of responsibility. The incumbent will also be expected to perform other related duties as required.
Required Qualifications: Candidates must possess a minimum of 2 years of relevant experience with a High School Diploma, or 1 year of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include good computer skills, particularly in data management. Desirable qualifications include training in the basic principles of international protection and experience working with UNHCR proGres software. The position requires functional skills in data management, programme management, data collection and analysis, registration standard operating procedures design/implementation, and training (both virtual and face-to-face). Additionally, candidates must demonstrate computer literacy and familiarity with IT refugee systems and applications.
Educational Background: The educational background required for this position includes a High School Diploma as a minimum, with a Bachelor’s degree or higher being advantageous. Relevant fields of education include social sciences, statistics, mathematics, and information technology. Certifications in these areas are considered essential for the role, particularly those related to information technology and social sciences.
Experience: The level of experience required for the Senior Registration Assistant position includes a minimum of 2 years of relevant experience for candidates with a High School Diploma, or 1 year of relevant work experience for those with a Bachelor’s degree or higher. This experience should ideally be in a similar role within the humanitarian sector, particularly with UNHCR or related organizations, focusing on registration and protection of refugees and asylum seekers.
Languages: For this position, knowledge of Arabic is mandatory, as the desirable candidate is expected to be a Jordanian national fluent in Arabic. Additionally, proficiency in English and the UN working language of the duty station is required. Knowledge of other languages may be considered an asset, particularly those relevant to the local context.
