Job Overview:
The Admin/HR Associate position is pivotal in delivering quality human resources services across the Country Office (CO) of UNFPA. The role requires a collaborative, client-oriented, and results-focused approach to HR management, ensuring compliance with established rules, guidelines, and procedures. The incumbent will provide effective HR advice and services to both internal and external clients, supporting the overall functioning of the HR management system. Reporting directly to the Operations Manager, the Admin/HR Associate will play a crucial role in implementing HR strategies and policies, ensuring transparency and integrity in all HR processes, and fostering a positive work environment that aligns with UNFPA's mission and values. The position also involves facilitating knowledge sharing and building within the office, ensuring optimal communication flows, and actively participating in day-to-day HR operations.

Duties and Responsibilities:
The Admin/HR Associate will be responsible for a comprehensive range of duties, including:
  • Administration and implementation of HR strategies and policies: Ensure compliance with UN rules and regulations, provide advice on corporate strategies, and support the recruitment of staff and consultants.
  • Effective administration of human resources: Organize recruitment processes, monitor contracts and transactions, and prepare submissions for the Local Compliance Review Panel.
  • Facilitation of knowledge building and sharing: Support the Operations Manager in tracking HR management indicators, organize training sessions, and contribute to knowledge networks.
  • Communication flows: Maintain personnel status files, monitor personnel activities, and prepare reports and analyses.
  • Additional responsibilities as assigned by the Supervisor and Senior Management.

Required Qualifications:
Candidates must possess a completed secondary level education (high school or equivalent) as a minimum requirement. A first-level or advanced degree in Business Administration or related fields is desirable. Additionally, candidates should have a minimum of 6 years of progressively responsible experience in Human Resources or Administration, with thorough knowledge of modern office procedures and general office management. Experience with UN Agencies is considered an asset. Excellent communication skills and proficiency in current office software applications are essential for this role.

Educational Background:
The educational background required for this position includes at least completed secondary education, with a preference for candidates holding a first-level or advanced degree in Business Administration or related areas. This educational foundation is crucial for understanding the complexities of HR management and the operational needs of the UNFPA.

Experience:
The position requires a minimum of 6 years of progressively responsible experience in Human Resources or Administration. This experience should encompass a thorough understanding of modern office procedures and general office management. Familiarity with UN Agencies and their operational frameworks is highly advantageous, as it equips candidates with the necessary insights into the unique challenges and requirements of working within the UN system.

Languages:
Fluency in English is mandatory for this position, as it is the primary language of communication within the UNFPA. Knowledge of the local language is desirable, as it can enhance communication with local stakeholders and contribute to a more inclusive work environment.
