Job Overview: The logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer position is a technical role that plays a crucial part in the effective management of logistics operations within Plan Indonesia. This role is primarily responsible for overseeing warehouse management, vehicle operations, and office facilities to ensure that logistical data, including asset management, stock levels, and fleet operations, are meticulously organized and maintained. The Logistics Officer will work closely with the Logistics Coordinator to ensure that all logistics activities are executed efficiently and in alignment with the organization's objectives. This position requires a proactive approach to data management and analysis, as the Logistics Officer will be responsible for preparing monthly logistics reports that facilitate asset verification, stock tracking, and vehicle usage analysis. The role demands strong coordination skills to liaise with third-party vendors and internal teams, ensuring that all logistical operations support the overall mission of Plan Indonesia in delivering humanitarian aid effectively.
Duties and Responsibilities: The Logistics Officer will be tasked with a comprehensive set of responsibilities, including but not limited to:
Warehouse Management: Collaborate with the Logistics Coordinator to manage day-to-day warehouse operations, compile warehouse reports, and conduct annual physical checks. Monitor and update warehouse performance and rental agreements, coordinate with procurement for incoming goods, and manage stock movement and shipping to response areas. Lead processes related to disposal, replenishment, packing, and unpacking of goods.
Asset Management: Oversee the administrative management and documentation of new assets, transfers, disposals, and repairs. Ensure that assets are properly capitalized, maintained, and disposed of throughout their lifecycle. Conduct periodic inspections of assets in the field to ensure compliance with organizational standards.
Office Management: Ensure the functionality and adequacy of office facilities, manage utility payments and purchases, and maintain an inventory of office supplies.
Transportation and Accommodation Management: Ensure compliance of all vehicles with tax obligations, manage fleet risks, and ensure timely maintenance and servicing of vehicles. Prepare hotel and accommodation bookings for staff and coordinate airport transportation.
Organization of Legal Documents: Record and file lease agreements, insurance documents, and third-party contracts. Assist with visa applications and prepare necessary documentation for visitors.
Purchasing/Procurement Management: Implement procurement systems and procedures, oversee tender processes, and ensure compliance with ethical standards. Maintain supplier databases and conduct market surveys to identify potential suppliers. Prepare procurement documents and maintain accurate records of procurement activities.
Required Qualifications: Candidates for the Logistics Officer position must possess a Bachelor's degree in accounting, economic management, business administration, logistics, data management, or a related field. A minimum of 2 years of experience in logistics within private companies or NGOs is essential. Candidates should demonstrate knowledge of data management across various platforms and have a proven track record in logistics management. Strong oral and written communication skills in English are required, along with experience in asset and vehicle management.
