Job Overview:
The Administrative Assistant position at UNICEF involves executing a variety of routine tasks and specialized duties that require a thorough understanding of UNICEF's administrative procedures, processes, and policies. Reporting to the Senior Administrative Associate, the role is crucial in supporting the operational functions of the organization, particularly in the Jordan Country Office. The Administrative Assistant will be responsible for managing property, plant, and equipment, providing telecommunication services, and offering general administrative support. This position is vital for ensuring that UNICEF's operations run smoothly and efficiently, contributing to the organization's mission of improving the lives of vulnerable children in Jordan.

Duties and Responsibilities:
The Administrative Assistant will undertake several key functions, including:
  • Property, Plant, and Equipment Management: Conducting annual physical counts of office assets, supporting the disposal process of assets, and coordinating asset retirement processes.
  • Telecommunication Services: Acting as the first point of contact for telecom-related inquiries, managing the activation and termination of telecom lines, and maintaining records of telecom service requests and resolutions.
  • Administrative Support: Keeping detailed records of telecom assets, tracking delivery and distribution of telecom equipment, and monitoring mobile replacement plans.
  • Additional Responsibilities: Providing backup support to other administrative roles and performing other tasks as required by the supervisor.

Required Qualifications:
Candidates must have completed secondary education, preferably supplemented by technical or university courses related to administrative work. A minimum of 3 years of relevant administrative or clerical work experience is required. Fluency in Arabic and English is mandatory, and knowledge of another official UN language (Chinese, French, Russian, or Spanish) is considered an asset. Candidates should demonstrate UNICEF's core values of care, respect, integrity, trust, accountability, and sustainability.

Educational Background:
The position requires at least a completion of secondary education, with a preference for candidates who have pursued further technical or university-level courses related to administrative functions. A minimum of 3 years of relevant experience in administrative or clerical roles is required. This experience should include familiarity with administrative processes, record-keeping, and communication within a professional environment, ideally within an international organization or a similar context.
