Job Overview: The Logistics and Administration Officer position at NRC is designed for a recent graduate who will play a crucial role in ensuring that procurement processes and administrative functions are executed efficiently and in compliance with organizational standards. The officer will be responsible for managing logistics operations, including procurement, inventory management, and fleet management, while also handling administrative tasks such as arranging travel and accommodations for staff and visitors. This role requires a proactive individual who can effectively communicate and collaborate with various stakeholders to ensure the smooth operation of logistics and administrative functions in Kismayo. The officer will work closely with the logistics team to ensure timely delivery of goods and services, maintain accurate inventory records, and uphold NRC's values of dedication, innovation, inclusivity, and accountability.
Duties and Responsibilities: The Logistics and Administration Officer will have a comprehensive set of responsibilities, including but not limited to: ensuring compliance with procurement processes as per the logistics handbook and donor requirements; preparing Requests for Quotations (RFQs), obtaining quotations, conducting bid analyses, and uploading Purchase Orders (POs); liaising with suppliers to guarantee prompt and accurate delivery of goods and services; assisting in organizing the transport of materials according to established procedures; managing the inventory list for Kismayo field offices and updating it with new purchases; ensuring timely submission of accurate inventory reports to the logistics Team Leader; maintaining a proper filing system for procurement documents for easy retrieval; facilitating the receiving and dispatching of supplies and project materials to field offices; managing fleet operations; arranging flight bookings, transport, and accommodations for staff and visitors; ensuring timely payment of utility bills; supervising office and guesthouse supplies; inspecting incoming supplies for conformity; distributing materials to field staff; and maintaining cleanliness and order in office and accommodation facilities. The officer will also perform any other duties assigned by their supervisor.
Required Qualifications: The ideal candidate for the Logistics and Administration Officer position should possess a degree in Supply Chain Management, Business Administration, or a related field. Preference will be given to candidates with higher academic achievements. The candidate should demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a team environment. Additionally, the candidate should exhibit a positive attitude and the capability to build trust and communicate confidently with various stakeholders at different levels.
Educational Background: Candidates must have a relevant educational background, specifically a degree in Supply Chain Management, Business Administration, or a related field. This educational foundation is essential for understanding the complexities of logistics and administration within a humanitarian context.
Experience: While the position is open to recent graduates, any prior experience in logistics, procurement, or administration within a humanitarian or non-profit organization will be considered an asset. The candidate should be familiar with the challenges and dynamics of working in a fast-paced environment, particularly in crisis situations.
Languages: Fluency in English, both written and verbal, is mandatory for this position. Proficiency in additional languages relevant to the operational context may be considered advantageous but is not required.
Additional Notes: The contract period for this position is 6 months, and the salary and benefits will be in accordance with NRC’s salary scale and terms and conditions. The duty station is Kismayo, and some travel may be required.
