Job Overview:
The Project Development and Reporting Assistant plays a crucial role in supporting the IOM's mission in Ecuador by assisting in the preparation and review of project proposals and strategic documents. This position requires collaboration with various units and field offices to gather inputs necessary for developing comprehensive project proposals and donor liaison documents. The assistant will contribute to the timely and accurate reporting of project outcomes, ensuring adherence to program objectives and timelines. Additionally, the role involves supporting the Office of Partnerships in planning and implementing initiatives that enhance IOM's positioning in Ecuador, as well as preparing materials for meetings with donors. The assistant will also manage knowledge and maintain accurate records related to project development and reporting, ensuring effective data processing and monitoring activities.

Duties and Responsibilities:
  • Assist in the preparation of project proposals and donor liaison documents by collecting inputs from different units and field offices.
  • Review and prepare strategic documents, ensuring alignment with project objectives and donor requirements.
  • Contribute to the timely and accurate reporting of project outcomes, including monthly, interim, and final reports.
  • Support the Office of Partnerships with technical and administrative tasks to enhance IOM's initiatives in Ecuador.
  • Prepare notes, briefs, and other materials for meetings and consultations with donors.
  • Maintain accurate records of correspondence, project development, and reporting files.
  • Assist in data processing and monitoring activities by consolidating and sharing information with sub-offices and thematic units.
  • Perform other duties as assigned by supervisors.

Required Qualifications:
  • Bachelor’s degree in international relations, International Development, Social Sciences, or a related field from an accredited institution, or a school diploma with four years of relevant professional experience.
  • Experience in developing project proposals and technical writing, preferably in the international development or humanitarian sector.
  • Proficiency in using office software packages such as MS Word and Excel.
  • Work experience in donor relations and/or the UN System is an advantage.
  • Knowledge of migration-related subject areas and project management in line with the IOM Project Handbook is essential.

Educational Background:
Candidates must possess a Bachelor’s degree in international relations, International Development, Social Sciences, or a related field from an accredited academic institution. Alternatively, candidates with a school diploma and four years of relevant professional experience will also be considered. Accredited universities are those listed in the UNESCO World Higher Education Database.

Experience:
The position requires a minimum of two years of professional experience in project proposal development and technical writing, particularly within the international development or humanitarian sectors. Candidates with experience in donor relations and familiarity with the UN System will have an advantage. Proficiency in office software packages is also necessary.

Languages:
Fluency in Spanish and English is mandatory, both oral and written. IOM's official languages include English, French, and Spanish, and proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Ecuador will be considered. The appointment is contingent upon funding confirmation and the candidate's medical fitness for appointment. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for 24 months.
