Duties and Responsibilities:
The duties and responsibilities of the Senior Administrative Assistant include assisting in the interpretation and processing of entitlements, issuing contracts, and maintaining personnel records. The incumbent will attend meetings related to administrative matters, manage the movement of UNHCR staff, and monitor attendance records, leave plans, and visa requirements. They will search office files for information, assist in requisitioning office supplies, and handle travel arrangements and visa renewals. Drafting correspondence and reports, maintaining the supervisor's calendar, and facilitating official missions are also key responsibilities. The Senior Administrative Assistant will support risk management and decision-making processes, ensuring that any issues are raised with the appropriate supervisor.
Required Qualifications:
Candidates for the Senior Administrative Assistant position must possess a minimum of 2 years of relevant experience with a High School Diploma, or 1 year of relevant work experience with a Bachelor’s degree or higher. Essential qualifications include certificates in Business Administration, Finance, Office Management, Human Resources, or related fields. Familiarity with UNHCR administrative rules and procedures is also required, along with proficiency in IT and computer literacy. Completion of UNHCR learning programs or specific training relevant to the position is desirable.
Educational Background:
The educational background required for this position includes a High School Diploma as a minimum, with a Bachelor’s degree or equivalent being advantageous. Relevant certifications in fields such as Business Administration, Finance, Office Management, or Human Resources are essential for candidates to be considered for this role.
Experience:
The position requires candidates to have at least 2 years of relevant experience for those with a High School Diploma, or 1 year of relevant experience for those with a Bachelor’s degree or higher. Experience in administrative roles, particularly within international organizations or NGOs, is highly valued and will enhance a candidate's application.
Languages:
For this position, knowledge of English is mandatory, and proficiency in the UN working language of the duty station is also required. For General Service jobs, knowledge of English and/or the UN working language is essential, and familiarity with the local language is considered an asset. Candidates should demonstrate an overall ability of at least B2 level in the required languages.
