The role requires a proactive approach to managing administrative tasks, including maintaining personnel records, processing entitlements, and assisting with travel arrangements. The Senior Administrative Assistant will also be involved in drafting correspondence and reports, managing the supervisor's calendar, and facilitating official missions. This position demands a high level of organization, attention to detail, and the ability to handle confidential information with discretion.
Duties and Responsibilities:
The duties and responsibilities of the Senior Administrative Assistant include but are not limited to: assisting in the interpretation and processing of entitlements, issuing contracts, and maintaining personnel records; attending meetings related to administrative matters; monitoring attendance records, leave plans, and visa requirements for UNHCR staff; searching office files for information and preparing reports and correspondence; requisitioning office supplies and managing inventory; assisting with travel arrangements and visa issuance; drafting correspondence and reports, including confidential documents; managing the supervisor's calendar and receiving visitors; facilitating official missions; preparing attestations and certificates; processing claims; identifying and managing risks; and performing other related duties as required.
Required Qualifications:
Candidates must possess a minimum of 2 years of relevant experience with a High School Diploma, or 1 year of relevant experience with a Bachelor’s degree or higher. Essential qualifications include a background in Business Administration, Finance, Office Management, Human Resources, or a related field. Candidates should demonstrate proficiency in IT and computer literacy, particularly with PeopleSoft applications. Familiarity with UNHCR administrative rules and regulations is also essential. Additionally, candidates should possess strong organizational skills, attention to detail, and the ability to work in a multicultural environment.
Educational Background:
The educational background required for this position includes a High School Diploma as a minimum, with a preference for candidates holding a Bachelor’s degree or higher in relevant fields such as Business Administration, Finance, Office Management, or Human Resources. Certificates in these areas are considered essential for the role, particularly those related to administrative functions within the UN system.
Experience:
The position requires candidates to have at least 2 years of relevant experience for those with a High School Diploma, or 1 year of relevant experience for those with a Bachelor’s degree or higher. Experience in administrative roles, particularly within international organizations or the UN system, is highly desirable. Familiarity with the specific administrative processes and regulations of UNHCR will be an advantage.
Languages:
Knowledge of English is mandatory, as it is the UN working language of the duty station. Additionally, proficiency in Slovak is required, as it is the local language. Knowledge of any other official UN language would be considered an asset, enhancing the candidate's profile for this position.

- The role is full-time and requires physical presence in the office, with flexibility for missions within Slovakia as needed. The salary range for this position is NET EUR 1,645 - NET EUR 1,937, along with a competitive benefits package that includes annual leave, participation in the UN Joint Staff Pension Fund, and health insurance coverage. The position is open to internal applicants and candidates with UNHCR experience, and applicants must be nationals of Slovakia or other EU/Schengen countries or possess a valid Slovak residency and work permit.
