Job Overview:
The Data Management Assistant position is crucial for the effective management of data related to asylum seekers, refugees, and persons of concern to UNHCR. The incumbent will be supervised by a Professional or Senior General Service staff member, receiving regular guidance and support. This role does not involve supervisory responsibilities but requires collaboration with colleagues at the same duty station to exchange information and discuss work plans. The Data Management Assistant may also serve as a liaison with national and local authorities for data gathering and exchange. The position is essential for maintaining accurate records and supporting the overall mission of UNHCR by ensuring that data is effectively managed and utilized for reporting and project documentation.

Duties and Responsibilities:
The Data Management Assistant will be responsible for entering data related to asylum seekers, refugees, and persons of concern into the computer database. This includes contributing to the preparation of reports and project documents by providing necessary information, preparing tables, and drafting routine correspondence and reports. The incumbent will also update and maintain existing databases, generating various statistical reports as needed. Additionally, the Data Management Assistant may assist in developing forms for data collection and analysis. The role may require acting as an interpreter for routine information exchanges and translating documents as necessary. Field trips to project sites may be required, and the incumbent will need to make decisions regarding data recorded in the database and appropriate resolutions to incidents, escalating issues to the supervisor when necessary. The Data Management Assistant will also support the identification and management of risks, ensuring that decision-making is informed by risk assessments in their area of responsibility.

Required Qualifications:
The position requires a minimum of 1 year of relevant experience in electronic data processing, information technology, or a related field. Candidates must possess a High School Diploma or equivalent, with a Bachelor’s degree being advantageous. Essential qualifications include certificates in electronic data processing and information technology. Desirable qualifications include completion of UNHCR learning programs or specific training relevant to the functions of the position. The role demands a proactive approach to maintaining a safe and respectful working environment, free from harassment and discrimination.

Educational Background:
Candidates must have at least a High School Diploma or equivalent. A Bachelor’s degree in a relevant field is preferred but not mandatory. The educational background should ideally include training in electronic data processing or information technology, which is essential for performing the duties of the Data Management Assistant effectively.

Experience:
The position requires at least 1 year of relevant experience in electronic data processing, information technology, or a related field. This experience should demonstrate the candidate's ability to manage data effectively and contribute to reporting and documentation processes. Familiarity with UNHCR's operational context and data management practices is advantageous but not required.

Languages:
Knowledge of English is mandatory, along with the UN working language of the duty station if it is not English. For General Service jobs, knowledge of English and/or the UN working language of the duty station is required.
