Job Overview: The Team Assistant position is a vital role within the Office of the High Commissioner for Human Rights (OHCHR) in New York. The incumbent will provide comprehensive office support and administrative functions to ensure the smooth operation of the Programme Management Unit. The Team Assistant will be expected to maintain a high level of professionalism and efficiency while handling multiple priorities and deadlines. The position also involves assisting in the preparation of reports and presentations, as well as maintaining schedules and calendars for the team. Duties and Responsibilities: The Team Assistant will be responsible for a wide range of duties, including but not limited to: performing general office support and administrative functions; responding to and drafting routine correspondence; producing complex documents and reports using standard word processing software; monitoring processes and schedules related to the unit's outputs; assisting in the verification of documents for compliance; researching and organizing information for reports and meetings; proofreading and editing documents for accuracy; screening phone calls and visitors; providing secretarial and logistical support for meetings and events; preparing presentation materials; maintaining calendars and schedules; reviewing and processing mail and documents; updating distribution lists; performing general administrative tasks such as leave and attendance recording; maintaining files and databases; providing software and office equipment support; and offering guidance to less experienced staff.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A minimum of three years of experience in general office support or a related area is required. Experience within the UN common system or a comparable international organization is desirable. Candidates should demonstrate knowledge of general office and administrative support, including policies and procedures. Strong communication skills, both written and verbal, are essential, along with the ability to work effectively in a team environment and manage multiple tasks efficiently.
Educational Background: The educational requirement for this position is a high school diploma or equivalent. Additional qualifications or certifications in office administration or related fields may be beneficial but are not mandatory.
Experience: The position requires a minimum of three years of relevant work experience in general office support or a related area. Candidates with one year of experience within the UN common system or other comparable international organizations will be given preference. The role demands a strong understanding of office procedures and the ability to handle administrative tasks with minimal supervision.
Languages: English is the mandatory working language for this position, with a required proficiency level of UN Level III for reading, writing, listening, and speaking.
