Job Overview:
The position of Administrative Support is crucial for the effective functioning of the WHO's country presence in Morocco. The incumbent will be responsible for providing comprehensive administrative support to the assigned program, ensuring that all correspondence, reports, and documents are prepared accurately and efficiently. This role involves drafting and reviewing various documents, managing travel arrangements, and maintaining communication with team members and external stakeholders. The Administrative Support will also monitor the implementation of country activities and financial expenditures, ensuring compliance with the approved work plan. The position requires a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously while maintaining a high standard of professionalism.
Duties and Responsibilities:
- Provide full administrative support to the assigned programme, including drafting, reviewing, and revising correspondence and reports.
- Prepare and process travel requests for team members, including visa arrangements and bookings.
- Manage correspondence and documents, evaluating their urgency and ensuring timely follow-up.
- Monitor the implementation of country activities and financial expenditures using the GSM system.
- Compile background materials for planning, monitoring, and evaluation exercises.
- Organize meetings and Logistics, including participant per diem payments.
- Respond to telephone inquiries and coordinate appointments for supervisors.
- Assist and replace administrative staff as needed and participate in field visits.
Required Qualifications:
Essential qualifications include completion of secondary education supplemented by secretarial or business Administration training. Desirable qualifications include a university degree in business administration, Social Sciences, communication, or a related field. Candidates should possess good filing and organizational skills, the ability to maintain positive working relationships, and demonstrated Translation skills for routine correspondence. Time management and stress management skills are also essential, along with knowledge of WHO rules and procedures.
Educational Background:
The educational background required for this position includes completion of secondary education, with additional training in secretarial or business administration being essential. A university degree in a relevant field is considered an asset and may enhance the candidate's qualifications for the role.
Experience:
Candidates must have at least five years of progressive administrative experience. Relevant experience within the UN system is desirable, as it provides familiarity with the organization's operations and procedures, which can be beneficial in this role.
Languages:
Essential language skills include intermediate knowledge of English, expert knowledge of French, and expert knowledge of Arabic. The ability to communicate effectively in these languages is crucial for the role, as it involves interaction with diverse stakeholders and the preparation of documents in multiple languages. Desirable language skills may include additional languages that can enhance communication within the organization.
Additional Notes:
This position offers an attractive remuneration package, including an annual net base salary starting at MAD 237,433, subject to mandatory deductions. The role includes 30 days of annual leave.
