Job Overview: The Project Assistant (Admin and Logistics) position is crucial for supporting the implementation of the Emergency Non-Food Items (NFI) project for flood-affected communities in Nepal. This role involves providing logistical and administrative support to ensure the smooth execution of project activities. The successful candidate will work under the supervision of IOM’s Chief of Mission and the National Project Officer, coordinating closely with the Head of the MECR Unit. The position requires a proactive approach to assist in various administrative tasks, including clerical assistance, data management, and communication with stakeholders. The candidate will also be responsible for maintaining project documentation and supporting the organization of meetings and training sessions related to the project. This role is essential in addressing the urgent needs of communities affected by the recent flash floods in central Nepal, contributing to the overall objectives of saving lives, protecting affected individuals, and restoring access to essential services.
Duties and Responsibilities: The duties and responsibilities of the Project Assistant include providing general clerical assistance such as printing, scanning, photocopying, record keeping, and maintaining office records and databases. The candidate will assist in preparing simple invoices and payment requests, support travel arrangements, and retrieve, compile, summarize, and present information/data on specific topics related to Shelter and Settlements in the affected areas. The role also involves updating budget-related information, keeping a record of all Purchase Requisitions raised in WAVE, and coordinating administrative actions by liaising with other units or external parties. The Project Assistant will draft correspondence, briefing notes, graphics, statistical tables, presentations, and other documentation related to the project. Additionally, the candidate will support the organization of meetings, workshops, and training sessions, respond to general requests and inquiries, and maintain an organized electronic filing system for project documents. Other related duties may be assigned as necessary.
Required Qualifications: Candidates must possess a Bachelor’s degree in Business Administration or a related field from an accredited institution, along with at least 2 years of relevant work experience. Alternatively, a school diploma in a relevant subject with a minimum of 4 years of relevant work experience is acceptable. Accredited universities are those listed in the UNESCO World Higher Education Database. The ideal candidate should have strong organizational and time-management skills, excellent communication and diplomatic skills, and the ability to work independently under tight deadlines. Proficiency in computer skills, particularly in the MS Office package (Word, Excel, PowerPoint, Outlook), is essential for this role.
