Job Overview:
The UN Executive Assistant position is integral to the functioning of the UN Resident Coordinator's Front Office in Kathmandu. The role involves managing the Resident Coordinator's schedule, ensuring effective communication, and providing administrative support to facilitate the achievement of the UN's development goals. The Executive Assistant will work closely with the Head of Office and other team members to ensure that the office operates smoothly and efficiently. This position requires a high level of professionalism, discretion, and the ability to handle sensitive information. The Executive Assistant will also be responsible for coordinating meetings, preparing briefing materials, and maintaining communication with various stakeholders, including government officials and UN agencies. The role demands adaptability to fast-changing environments and the ability to prioritize tasks effectively.

Duties and Responsibilities:
The Executive Assistant will be responsible for a wide range of duties, including but not limited to: maintaining the Resident Coordinator's calendar and representation schedule, arranging appointments and meetings, providing protocol coverage, and ensuring logistical details for events. The assistant will draft key correspondence, prioritize tasks, manage travel arrangements, maintain contact lists, and assist in organizing official events. Additionally, the role involves providing communication support, managing sensitive information, and maintaining a filing system. The Executive Assistant will also support human resources management, office administration, and assist with data collection and analysis as needed. The position requires a proactive approach to anticipate the needs of the Resident Coordinator and ensure that all commitments are met in a timely manner.

Required Qualifications:
Candidates must possess a high school diploma or equivalent, with a bachelor's or advanced degree in business administration, office management, communication, or related fields being advantageous. A minimum of seven years of experience in administrative support, coordination, logistics, or front office functions is required. Experience in supporting senior officials, organizing meetings, and working with international organizations or government institutions is desirable. Proficiency in using Microsoft 365 and collaboration tools is essential, along with strong communication skills and the ability to handle sensitive information with professionalism.

Educational Background:
The minimum educational requirement for this position is a high school diploma or equivalent. However, candidates with a bachelor's or advanced university degree in relevant fields such as business administration, office management, or communication will be preferred. This educational background will provide the necessary skills and knowledge to perform the administrative and coordination tasks effectively.

Experience:
The position requires a minimum of seven years of relevant experience in administrative support, coordination, logistics, or front office functions. Candidates with a first-level university degree may have this requirement reduced by two years. Experience in supporting senior officials, organizing high-level meetings, and working with international organizations or government institutions is highly desirable. Additionally, experience in data analytics or related areas is considered an asset.

Languages:
The working languages of the United Nations Secretariat are English and French. For this position, proficiency in English is required, with a minimum level of II in reading, writing, listening, and speaking. Nepali is also required at the same proficiency level. Candidates should demonstrate strong communication skills in both languages, as they will be interacting with various stakeholders and preparing official correspondence.

This is a fixed-term position with an initial appointment period of one year, subject to the availability of funds and budgetary approval.
