Job Overview: The AdministrationSenior Assistant will provide operational support in administrative, financial, and logistical management necessary for the timely implementation of project activities. This includes budget monitoring, event organization, mission management, document management, and report preparation in compliance with applicable United Nations procedures. The role is crucial in ensuring that the project meets its objectives efficiently and effectively, contributing to the overall mission of UNODC in Argentina. The position requires a proactive approach to administrative tasks, ensuring that all activities align with the project’s goals and timelines. The Assistant will also be involved in maintaining databases and information systems, ensuring that all project-related information is accurate and readily available for reporting and auditing purposes.
Duties and Responsibilities: The Administration Senior Assistant will be responsible for a variety of tasks including:
Administrative Support: Carrying out administrative, operational, budgetary, and management activities necessary for project implementation, ensuring timely achievement of objectives and agreed activities.
Planning and Monitoring: Assisting in the planning, control, and monitoring of administrative, financial, and operational activities of the project, contributing to the fulfillment of commitments with counterparts, donors, and the Regional Office.
Technical and Financial Execution: Supporting the technical, administrative, and financial execution of the project, considering budget distribution, existing commitments, execution deadlines, and necessary information for early alerts and risk mitigation.
Documentation Management: Preparing, organizing, and archiving administrative, financial, and operational documentation for audits, internal reports, management reviews, and requirements from the Project Coordination, donors, and Regional Office.
Logistics and Travel: Supporting the planning, organization, implementation, and administrative closure of meetings, workshops, training, missions, events, and other project activities.
Inventory Management: Assisting in the tracking of procurement processes, service contracts, supplier management, assets, inventory, and other requirements necessary for project implementation.
Knowledge Sharing: Participating in technical administrative and financial meetings to share information, report progress, identify difficulties, and follow up on commitments.
Other Duties: Carrying out other activities related to their area of expertise as assigned by their immediate supervisor.
Required Qualifications: The position requires a completed secondary education or equivalent, with at least five years of relevant experience; or a bachelor's degree or equivalent in administration, economics, accounting, finance, project management, international relations, social sciences, or related fields, with at least one year of relevant experience. Desired qualifications include technical, tertiary, university training, or professional certification in administration, accounting, law, finance, economics, results-based management, procurement, logistics, or related areas.
Educational Background: Candidates must have completed secondary education or equivalent, with at least five years of relevant experience; or possess a bachelor's degree or equivalent in administration, economics, accounting, finance, project management, international relations, social sciences, or related fields, with at least one year of relevant experience. Additional desired qualifications include technical, tertiary, or university training in relevant fields.
Experience: Candidates should have relevant experience in administration, finance, logistics, operations, project management, budget monitoring, event support, procurement, document management, or related fields. Experience in using collaboration and productivity tools, including Microsoft Office, Google Workspace, or equivalent tools, as well as web-based management systems, is essential. Experience in preparing, updating, or monitoring databases, matrices, reports, and administrative, financial, or operational documents is also required. Desired experience includes familiarity with UN norms, manuals, and procedures, as well as supporting activities related to criminal justice, drugs, organized crime, security, institutional strengthening, or international cooperation.
Languages: Proficiency in Spanish is required (native level), while basic proficiency in English is desirable. Candidates should be able to communicate effectively in both languages, with a strong emphasis on Spanish for daily operations and documentation.
