Job Overview: The Senior Executive Assistant will play a crucial role in supporting the Managing Director and Chief Financial Officer of the World Bank Group. This position requires a highly talented and motivated individual who will provide comprehensive administrative and proactive executive support. The selected candidate will be responsible for creating a positive and cohesive work environment within the fast-paced and client-oriented culture of the WBG. The role involves ensuring the smooth operation of the Front Office, coordinating the overall outcomes of the Front Office team, and acting as the primary point of contact between the front office and internal/external clients. The Senior Executive Assistant will manage the MD’s calendar, arrange and prioritize meetings, and handle logistics for large-scale events, ensuring that all necessary documents and materials are prepared in advance. This position is integral to the effective functioning of the office and requires a high level of discretion and professionalism.
Duties and Responsibilities: The Senior Executive Assistant will have a wide range of responsibilities, including:
Time Management and Executive Assistant Support: - Provide executive assistance in setting and managing priorities and workflow for the MDCFO. - Coordinate the MD's schedule, ensuring effective time management and timely responses to client requests. - Prepare relevant documents for meetings, ensuring high quality and adherence to guidelines. - Monitor and follow up on issues and priorities, ensuring appropriate consultations take place. - Take the lead in scheduling Annual and Spring Meetings related events. - Manage the provision of briefing books and materials for meetings and events.
Administrative Coordination and Front Office Support: - Organize the administrative functioning of the CFO's Front Office and coordinate workflow among the Front Office Team. - Assist team members with ad hoc matters, including meetings, procurement, and travel. - Promote a proactive and conducive work environment. - Mentor and guide other staff in the Front Office, ensuring smooth execution of core functions. - Work with Program/Executive Assistants from other units to ensure quality control of documents and compliance with standards.
Representation Contacts and Liaison: - Serve as the first point of contact for senior stakeholders, using sound judgment and discretion in handling inquiries. - Establish and maintain an effective network of contacts to support office needs.
Required Qualifications: The ideal candidate for the Senior Executive Assistant position should possess the following qualifications: - Proven experience in providing executive support at a senior level. - Exceptional organizational skills and attention to detail. - Strong communication skills, both written and verbal. - Ability to manage multiple priorities and work effectively under pressure. - High level of discretion and confidentiality in handling sensitive information. - Proficiency in office software and technology tools.
Educational Background: Candidates should have a bachelor's degree in business administration, management, or a related field. Advanced degrees or certifications in relevant areas will be considered an asset.
Experience: The position requires a minimum of 5 years of experience in an executive assistant or similar role, preferably within an international organization or a corporate environment. Experience in managing complex schedules and events is essential.
Languages: Fluency in English is mandatory. Proficiency in additional languages, particularly those relevant to the World Bank's member countries, is considered a plus.
