The UN RCOs are led by the UN Resident Coordinator, who is the highest-ranking official of the UN Development System in each country, responsible for coordinating UN efforts to support national development priorities.

Job Overview:
The Individual Contractor (IC) will provide essential secretarial and administrative support to the UN Resident Coordinator (RC) in Madagascar. This role requires a high level of confidentiality and the ability to work independently with minimal supervision. The IC will be responsible for managing the RC's calendar, coordinating appointments and meetings, and ensuring effective communication with high-ranking visitors and stakeholders. The position also involves preparing briefing materials for meetings, maintaining contact lists, and managing correspondence on behalf of the RC. The IC will play a crucial role in ensuring the smooth operation of the UNRC Front Office and supporting the RC in fulfilling their responsibilities.

Duties and Responsibilities:
The IC will perform a variety of duties including:
  • Ensuring the effective functioning of the UNRC Front Office while maintaining confidentiality and protocol procedures.
  • Managing the RC's calendar and scheduling appointments and meetings, including taking minutes and coordinating with UN agencies.
  • Organizing the RC's missions and representation schedule, including travel arrangements and security clearances.
  • Preparing briefing packs for the RC's participation in meetings and events.
  • Maintaining updated repositories of high-level partner contact lists and mailing lists.
  • Drafting and preparing correspondence, directives, and comments for the RC's signature.
  • Screening incoming calls and correspondence.
  • Acting as an alternate to the RCO Administrative Assistant when needed, supporting day-to-day administrative tasks including contract administration, budget and finance, and human resource management.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. Additional certifications or training in human resources, administration, finance, management, or event organization are highly desirable. Candidates with a bachelor's degree will have their required years of experience reduced by two years. A minimum of seven years of experience in administrative services, human resources, or client services is required. Experience with the UN or other international organizations is considered an asset.

Educational Background:
A high school diploma or equivalent is mandatory for this position. Candidates with additional certifications or training in relevant fields such as human resources, administration, finance, or management will be preferred. A bachelor's degree can reduce the required years of experience by two years, making it a valuable asset for applicants.

Experience:
The position requires at least seven years of relevant experience in administrative services, human resources, client services, or a related area. Candidates with experience working in the UN or other international organizations will have an advantage, as this experience is considered an asset for the role.

Languages:
Fluency in oral and written French and Malagasy is required for this position, along with a good knowledge of English. Proficiency in these languages is essential for effective communication within the UN system and with external stakeholders.
