Job Overview: The Capacity Development Assistant plays a crucial role in supporting the learning and training programmes for UN Volunteers. This position involves providing logistical and administrative support in the planning, preparation, and delivery of assigned learning portfolios in accordance with the approved learning calendar and annual workplan. The assistant will be responsible for preparing briefing and guidance notes for participants, guest speakers, and trainers, as well as assisting in the recruitment of external trainers and facilitators. The role also includes designing and producing workshop materials, researching content for training activities, and ensuring alignment with established learning objectives. The assistant will communicate with UN Volunteers regarding access to learning programmes, support enrollment processes, and provide logistical support for online learning events. Additionally, the assistant will assist in budget planning, procurement processes, and maintaining accurate records related to administrative functions.
Duties and Responsibilities: The duties and responsibilities of the Capacity Development Assistant include:
Providing logistical and administrative support for learning programmes, including event coordination, scheduling, and participant enrollment.
Assisting in the design and production of training materials and handouts.
Researching and gathering content for training activities to ensure alignment with learning objectives.
Communicating with UN Volunteers regarding learning programme access and responding to queries.
Supporting the enrollment process for online learning programmes and coordinating live online learning events.
Assisting in the design and dissemination of communication materials to promote online learning.
Performing user support functions for online learning programmes and liaising with external service providers.
Supporting annual budget planning and monitoring expenditures related to learning activities.
Maintaining accurate records related to procurement and administrative processes. 1
Providing logistical support in recruitment processes, including organizing interviews and note-taking.
Required Qualifications: The required qualifications for the Capacity Development Assistant position include:
Completion of secondary education with specialized training or courses in learning, capacity development, or related fields.
A university degree is desirable but not mandatory.
A minimum of five years of relevant work experience at the national or international level in learning, capacity development, event planning, or administrative support.
Proficiency in using office software packages (MS Word, Excel, etc.), database packages, and learning management systems.
Experience in providing administrative and logistical support for learning and development programmes.
Familiarity with online workshop delivery platforms such as Zoom and MS Teams.
Experience with online or cloud-based learning solutions is an asset.
Educational Background: The educational background required for this position includes the completion of secondary education. Specialized training or courses in learning, capacity development, or related fields are essential. While a university degree is desirable, it is not a strict requirement for applicants. The emphasis is placed on practical experience and relevant skills rather than formal educational credentials alone.
Experience: Candidates should possess a minimum of five years of practical and relevant work experience at the national or international level in areas such as learning, capacity development, event planning, or administrative support. Alternatively, candidates with a bachelor's degree are required to have at least two years of relevant experience. This experience should include proficiency in using computers and office software, as well as providing logistical support for learning and development programmes. Familiarity with online workshop delivery and administrative processes is also essential for this role.
Languages: Fluency in English and French is mandatory for this position. Knowledge of another official UN language is considered an asset, enhancing the candidate's ability to communicate effectively in a diverse and multilingual environment.
