Job Overview:
The UN Volunteer in Facilities Management will work under the direct supervision of the Chief Facilities Management Unit and overall guidance from the Chief Engineering and Facilities Maintenance Section. The primary function of this position is to provide effective front desk service for the Facility Management Unit, which includes liaising with tenants, managing accommodation bookings, and overseeing maintenance management. The volunteer will be responsible for reviewing maintenance requests, coordinating Logistics support for accommodation and office supplies, and ensuring that all accommodations are furnished and ready for occupation. This role requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently while maintaining high standards of service delivery.

Duties and Responsibilities:
The duties and responsibilities of the UN Volunteer include: providing front desk service for the Facility Management Unit; liaising with tenants regarding accommodation and maintenance needs; reviewing and prioritizing maintenance requests; proposing cost-effective solutions to customer queries; coordinating logistics support for accommodation and office supplies; processing accommodation bookings; facilitating check-in/check-out processes for staff and visitors; managing invoicing for accommodations; generating accommodation utilization reports; monitoring service contracts; conducting daily inspections of facilities; reviewing contractor invoices; processing bookings for meetings and conferences; providing logistical support for emergencies; and training outsourced service contract personnel on best practices for waste management and conservation.

Required Qualifications:
The position requires strong organizational and communication skills, the ability to work collaboratively in a team environment, and a customer-oriented approach. Candidates should have experience in facilities management or a related field, with a focus on service delivery and client satisfaction. Proficiency in using office software and Management Systems is essential, as well as the ability to handle multiple tasks and prioritize effectively. Candidates should also demonstrate a commitment to the values and principles of the United Nations.

Educational Background:
A minimum of a high school diploma is required, with a preference for candidates holding a degree in facilities management, business Administration, or a related field. Additional certifications in facilities management or project management would be advantageous.

Experience:
Candidates should have at least 2 years of relevant experience in facilities management, administrative support, or a related field. Experience working in an international organization or in a multicultural environment is highly desirable. Familiarity with UN operations and procedures would be a significant asset.

Languages:
Fluency in English is mandatory, both written and spoken. Knowledge of local languages spoken in Afghanistan would be considered an advantage, as it would facilitate communication with local staff and stakeholders.
