Job Overview:
The primary objective of this assignment is to provide administrative services that ensure high-quality and accurate work, implement UNHCR's rules and guidelines, and provide solutions to related issues. Under the delegated authority and supervision of the Senior Finance Associate or their designated representative, the UN Volunteer will carry out various tasks. These tasks include preparing correspondence and reports as required on general administrative and financial tasks, supporting comprehensive travel management, which involves ticket purchasing and travel claims under UNHCR's travel policy, analyzing accounts and pending payments related to travel processes, assisting the Senior Finance Associate in analyzing accounting accounts and their respective closure and reconciliation, supporting the standardization of processes across different UNHCR offices, assisting in inventory control of the Administration Unit, entering and reviewing payments in the cloud ERP system, supporting the procurement process for purchases under USD 4,000, consolidating digital documents for supporting evidence, reviewing invoices for VAT claims, promoting a quality management system to measure, control, and monitor the effectiveness of billing and payment processes, and providing general logistical and administrative support to the office. Additionally, UN Volunteers are encouraged to integrate into the mandate of the UNV program and promote voluntary action through Community Engagement in their work.

Duties and Responsibilities:
The UN Volunteer will be responsible for a variety of tasks, including but not limited to: preparing correspondence and reports related to administrative and financial tasks; supporting travel management, including ticket purchases and travel claims; analyzing accounts and pending payments; assisting in the closure and reconciliation of accounting accounts; supporting the standardization of administrative processes across UNHCR offices; managing inventory control for the Administration Unit; entering and reviewing payments in the cloud ERP system; assisting in the procurement process for purchases under USD 4,000; consolidating digital documents for supporting evidence; reviewing invoices for VAT claims; promoting a quality management system for billing and payment processes; providing general logistical and administrative support; and performing other tasks as necessary. Furthermore, UN Volunteers are expected to dedicate part of their work time to activities that strengthen their understanding of volunteering, engage in local volunteer initiatives, provide annual self-assessment reports, contribute articles about their experiences, assist with the UNV Mentoring Program for new Young UN Volunteers, and promote the use of the UNV Online Volunteering service.

Required Qualifications:
Candidates must possess strong organizational skills, attention to detail, and the ability to work effectively in a team environment. Proficiency in Microsoft Office applications, particularly Excel, is essential. Candidates should demonstrate a commitment to the principles of Humanitarian Assistance and a willingness to learn and adapt to new challenges. Strong communication skills, both written and verbal, are required, along with the ability to interact with diverse stakeholders in a professional manner. Candidates should also have a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously.

Educational Background:
A minimum of a secondary education is required, with a preference for candidates who have completed higher education in fields related to administration, finance, or a relevant area. Additional training or certifications in administrative or Financial Management would be advantageous.

Experience:
Candidates should have at least one year of relevant experience in administrative or financial support roles. Experience working in an international organization or in a multicultural environment is highly desirable. Familiarity with UNHCR's operations and procedures would be an asset, as would experience in logistics or procurement processes.

Languages:
Fluency in Spanish is mandatory, as the position is based in Bogotá, Colombia. Proficiency in English is desirable, and knowledge of additional languages relevant to the local context would be an advantage.
