The Program / Department / Team

The Corporate Accounting, Payroll, Timekeeping, and Travel Departments perform vital functions for Mercy Corps globally. These groups interact with all other departmental functions and separate entities of the Agency, providing meaningful financial information to employees, management, donors, and regulators; processing global pay and vendor payments; and enabling team member travel. Corporate Accounting includes all consolidated accounting, headquarters accounts payable, annual global external audits and global consolidated Financial Reporting. The Corporate Accounting Department works closely with Treasury and with the International Finance Department in consolidating field information to provide monthly consolidation of over 40 countries. Payroll and timekeeping are responsible for processing and allocating pay for all US based and Expat team members. Global Travel is responsible for the management and strategic development of Mercy Corps travel program.

The Position

This position is responsible for completing a range of duties to support the Global Rollout of the Databasics Online Timekeeping system and provide post-rollout support to system users. The Timekeeping Team supports members of the Finance and Payroll teams in a timely and accurate manner with a spirit of teamwork and service.

Essential Job Responsibilities



Work with the Timekeeping Manager in the Global Rollout of Databasics Online Timekeeping

Coordinate HCM data cleanup with Country HR teams

Gather and organize data on Time Codes and Leave Methods for each country

Become proficient in Databasics backend system configuration, and use that knowledge to set up and customize the system to meet the individual needs of each country

Test and evaluate the efficacy of the Timekeeping setup for individual countries

Coordinate with the Finance and Navigator teams on the Databasics-Navigator Integration and Automation project

Facilitate translation of system support documents and maintain up-to-date versions of all documents in Coordination with the Digital Librarian

Build and generate reports to suit the needs of Finance, Payroll, and HR

Schedule automated timekeeping reports for Country Offices

Crosstrain on system support, troubleshooting, and timesheet approvals for post-rollout user support

Provide backup to Timekeeping Senior Coordinator with tasks as needed (supporting system users, troubleshooting issues, etc.)

Maintain strong processes and controls around and within the timekeeping system

Draft or assist in drafting communications to timekeeping system users

Assist with various Corporate Finance tasks as needed

Accountability

Reports Directly To: Timekeeping Manager

Works Directly With: Country Office HR and Finance Teams, Corporate Accounting, International Finance, Human Resources, Timekeeping System Users

Accountability to Participants and Stakeholders

Mercy Corps team members are expected to support all efforts toward accountability, specifically to our program participants, community partners, other stakeholders, and to international standards guiding international relief and development work. Minimum Qualifications & Transferable Skills



Bachelor’s degree or 3+ years of experience in Administrative and/or Project Coordination

Highly organized

Ability to learn new systems quickly

Excellent written communication skills

Experience working with individuals who speak other languages and utilizing translation services

Demonstrated history of providing excellent customer service, meticulous attention to detail, and ability to follow procedures, complete tasks, meet deadlines and work well under pressure and cooperatively with team members is required

Intermediate skills in Microsoft Word and Excel, as well as the ability to navigate the internet and intranet are required

Demonstrated experience maintaining confidential informationBasic knowledge of Timekeeping and Payroll standards and best practices is preferred

French or Arabic proficiency preferred

Success Factors

The successful Timekeeping Senior Project Coordinator will have the ability to work independently and at the same time work fluidly with the HR and Finance teams. They must be able to employ effective time management skills, handle frequent interruptions and shifting priorities, exhibit effective customer service skills, and work effectively with a wide variety of individuals including international staff. The successful Project Coordinator will thrive in a fast-paced environment prone to rapid change. The most successful Mercy Corps team members have a positive approach, a strong commitment to teamwork and personal accountability, the ability to be flexible and make effective communication a priority in all situations.

Living Conditions / Environmental Conditions

This position is based in Portland, Oregon,Washington DC, or other U.S. remote location. This position does not require travel.

Mercy Corps team members represent the agency both during and outside work hours when deployed in a field posting or on a visit/TDY to a field posting. Team members are expected to conduct themselves in a professional manner and respect local laws, customs, and MC's policies, procedures, and values at all times and in all in-country venues.
