The American Heart Association (AHA) has an opportunity for a temporary Office Manager in Charleston, SC or Jacksonville, FL.

This opportunity is working somewhat remotely but applicants must live in the Charleston, SC or Jacksonville, FL area.

This temporary assignment will run from mid-late May and end approximately end of October 2021.

Working under the direction of the Director" id="link" class="link">Executive Director for Charleston and Jacksonville, this position is responsible for Financial Reporting and Administration of the American Heart Association's field Fundraising activities.

Major Responsibilities:

Serve as Accounting Liaison

  • Ensure that all funds raised in support of the mission are able to be recorded and payments are received by due dates.
  • Ensure accuracy, execution, proficiency and adherence to the latest policies and practices of the AHA as they relate to the fiscal and event financials.
  • Understand and communicate to local staff the process for sponsorship agreements, vendor contracts, vendor payments, and event reconciliation.
  • Submit requests for electronic signature for pledges in a timely manner when they are requested by fundraising staff.
  • Prepare weekly reconciliation of dollars raised and maintain logs of donations as requested.
  • Track and submit expenses for all fundraising staff.
Assist the Executive Director (ED)

  • Prepare and send follow up letters/correspondence as assigned.
  • Provide general administrative support as needed; act as resource while ED is in field, in special projects including research & report compilation, order event materials and other duties as requested.
Serve as General Office Management

  • Responsible for ensuring mail is opened with dual control and distributed promptly, sending daily UPS packaging.
  • Order general office supplies and oversee upkeep of general AHA items such as annual reports, office materials, and advise when materials are outdated.
  • Knowledgeable about projects and general event information including Logistics questions.
  • Work with regional staff regarding any needs for major building repairs, office furniture, etc. which may include getting local bids and submitting to regional office.
  • Ensure that management documents and performance documents are complete, accurate and submitted in a timely manner
  • Manage General Office Mailbox.

  • High School Diploma/GED required. College degree or some college is a plus.
  • Two years significant office administrative experience, preferably with a non-profit or public service organization.
  • Knowledge of principles and procedures of Project Management.
  • Ability to plan work, organize and maintain workflow.
  • Strong working knowledge of Word, Excel, Power Point and Outlook.
  • Ability to work with people at all levels.
  • Demonstrated ability to organize and plan.
  • Ability to maintain effective interpersonal relationships.
  • Ability to work under tight deadlines and help move projects forward.
  • Ability to work outside standard hours as needed.
